Job summary

SPOTTO Traffic Control is seeking an experienced Administrator and Allocations Coordinator to support scheduling, crew allocations, onboarding and daily operations as the business grows.

Australian operations on the Gold Coast require reliable attendance, strong communication and a proactive approach to staffing and compliance. Traffio experience is highly desirable and automatic documentation is part of daily tasks.

Qualifications

• At least 6 months-2 years of traffic management administration or office support experience is mandatory.
• Understanding of traffic control operations, crew coordination and industry compliance.
• Experience managing allocations, scheduling or rostering in a busy operational environment.
• Strong organisational skills and the ability to prioritise work and meet deadlines.
• Clear, professional written and verbal communication.
• Proficiency in Microsoft Word, Excel, Asana and Outlook.
• High attention to detail and sound problem-solving skills.
• Confidence working under pressure and adapting to changing requirements.
• Willingness to learn, improve processes and contribute to business growth.

Responsibilities

• Manage daily schedules, rosters and crew allocations using Traffio.
• Match staff to projects based on qualifications and availability.
• Coordinate last-minute staffing changes, replacements and emergency call-outs.
• Communicate shift details and changes clearly to crews, supervisors and clients.
• Track completed shifts, sign-offs, timesheets and outstanding documentation.
• Assist with allocations outside standard office hours, including weekends, where required.
• Process timesheets and general accounts administration accurately.
• Maintain databases, digital records and filing systems.
• Liaise with clients, suppliers and internal teams to keep projects moving.
• Manage office supplies and equipment.
