Lucasfilm Entertainment Company Ltd. LLC is hiring a Talent Coordinator for ILM Sydney on a 12-month contract. You will support talent managers, assist with crew capacity management, and collaborate with artists, production teams, and editorial to ensure a positive experience at ILM.

You will update crewing databases, coordinate meetings, onboard new artists, and handle timecards and leave processes in production tools. Strong HR exposure and VFX knowledge are beneficial.

Qualifications

• Experience in an HR, production, or related industry is a plus.
• Proven problem-solving skills and VFX knowledge are an additional advantage.
• Excellent communication and organizational detail in both written and spoken form.

Responsibilities

• Updating and maintaining crewing and capacity spreadsheets and databases.
• Maintain the film credit database and review names with managers.
• Coordinate Talent meetings and host social events; prepare meeting agendas and notes.
• Assist with artist onboarding tasks in collaboration with HR and training.
• Coordinate artist reviews, check-ins, and surveys as needed.
• Manage timecards, TOIL and leave processes in production tools.
• Provide employee-related support across departments including leave, seating, and onboarding.
• Support Talent Managers with calendar management and other administrative tasks.

Job Posting Title: Talent Coordinator Req ID: 10160640

This is a 12 month contract role at our Sydney studio. As the Talent Coordinator, you are responsible for working closely with one or multiple talent managers, assisting in VFX crew and capacity management in the ILM studio. Your role is to support the talent management team, artists, production teams, editorial and art departments with a positive experience working at ILM.

• Updating and maintaining crewing and capacity spreadsheets and databases
• Maintain the film credit database and reviewing names with managers
• Coordinating ongoing Talent meetings and organising/hosting social events
• Preparing agendas for various meetings, taking notes and disseminating as appropriate
• Working with HR and training to assist with new artist onboarding tasks
• Coordinating artist reviews and check ins, and assisting with occasional surveys
• Facilitating all timecard, TOIL and leave processes and ensuring they are maintained in production tools
• Providing artists, production teams, editorial and art departments with employee-related support including leave, seating, timecards, onboarding, and general inquiries, etc.
• Providing general administrative support to the talent managers including calendar management, exit procedures, capacity and leave communication and other miscellaneous tasks
• With oversight from Talent Managers, partnering with other teams such as Facilities, HR, Finance, Production, and Technology to ensure talent management processes are followed

• Must be able to work quickly, adjust to changes and effectively turn around reports and analysis in a timely manner
• Excellent communication skills both verbal and written along with administrative and organisational detail
• Confident in Microsoft Word and Excel, Google Suite, and proven calendar management skills
