Customer Service & Logistics Coordinator

The Customer Service & Logistics Coordinator owns the end-to-end order journey for our brand portfolio — currently flooring products, with scope to extend to future surfaces products — from the first client enquiry through quoting, production scheduling, stock and pipeline management, warehouse dispatch, and final delivery confirmation. This role blends front-line customer service with hands-on logistics and production coordination, working closely with each brand partner to ensure orders progress smoothly from purchase order through production scheduling, stock receipt, warehouse dispatch, and delivery to the client site.

Key responsibilities

Develop and maintain strong product knowledge across the brand portfolio to effectively service clients and support the Sales Managers and Agents

Respond to product FAQs and provide technical advice to clients, architects & designers, installers, and builders

Provide accurate and timely responses, lead-times, and delivery costs for each project

Prepare and issue accurate invoices in line with confirmed orders and payment terms, including deposit and balance invoicing

Receive and process customer purchase orders accurately upon confirmation

Collate order information and add confirmed orders into the relevant brand's production schedule

Monitor production schedules and lead times across brand partners, proactively flagging delays or changes to clients and the Sales Team

Conduct end-of-month reviews of stock on hand and pipeline orders across all projects

Coordinate dispatch from the warehouse once balance payment has been received and orders are ready to ship

Coordinate national deliveries, ensuring orders are shipped accurately and on time

About you

Minimum 3+ years' experience in a customer service, logistics, or supply chain coordination role

Experience coordinating purchase orders, production scheduling, or supplier relationships

Strong organisational and time management skills

High attention to detail with the ability to manage multiple priorities and brand processes

Excellent verbal and written communication and stakeholder management skills

Proficiency in Microsoft Office, Salesforce (or similar CRM), and scheduling/logistics tools

Proactive problem-solver with a client-focused mindset

Ability to work both independently and collaboratively within a team

Strong work ethic and initiative

Calm under pressure and solutions-focused

Experience in the commercial flooring, surfaces and construction industry is desirable but not required
