Job summary

Boardroom Pty Limited is seeking a Special Projects & Implementations Manager to lead end-to-end share plan implementations on the Shareworks platform from Sydney. You will serve as the main client contact, drive governance, manage data migrations, and ensure regulatory alignment through collaboration with Legal, Compliance, and Risk teams.

The role emphasizes strong project management, stakeholder communication, and an in-depth understanding of equity administration platforms.

Qualifications

• Experience in share plan administration, client service, project management, SAAS implementations, and/or financial services.
• Experience managing all aspects of a project including: project plan creation, stakeholder management, milestone governance, and technical project execution.
• Confident working with MS Office suite including Excel, Project, Outlook, and Shareworks.
• Ability to confidently manage client expectations, communicate deliverables, and elevate at-risk milestones.
• Excellent verbal and written communications skills to interact with cross functional departments and stakeholders.
• Understanding of the share plan industry and familiarity with equity administration platforms is beneficial.
• Experience on client implementations, data migration projects, or system configurations.
• Bachelor’s degree in Finance, Business, Commerce, Accounting, or similar area.

Responsibilities

• Deliver end-to-end share plan implementation projects onto the Shareworks platform.
• Act as primary contact for new corporate clients throughout implementation and transition to service.
• Provide transparent project updates to stakeholders and lead governance meetings.

• Interpret client requirements and define solutions, scope, and timelines.
• Prepare and migrate historical data to Shareworks, including extraction and transformation.
• Perform reconciliation of project data per specs and client requirements.
• Collaborate with Legal, Compliance, and Risk to meet regulatory requirements.
• Develop expertise of Shareworks and evolving share plan trends.
• Support long-term evolution of the department through workshops and strategic initiatives.
• Document client requirements and processes for seamless transition to operations.

Special Projects & Implementations Manager

Job Responsibilities

• Successfully deliver end-to-end share plan implementation projects onto the Shareworks administration platform.
• Act as the primary contact for new corporate clients throughout the implementation, establishing the foundation for partnership-based relationships with corporate clients as they transition from implementation to client service.
• Provide transparent and timely project updates to internal and external stakeholders by maintaining project management resources and leading project governance meetings.
• Maintain client engagement by setting clear expectations for stakeholders with regards to data and project deliverables.
• Interpret corporate client requirements based on share plan documentation and identify appropriate solutions, implementation scope, and estimated timelines.
• Prepare and migrate historical share plan data to Shareworks, including but not limited to these activities: Review and extraction of relevant historical data, Transformation of source data into acceptable Shareworks data formats, Identification of data inconsistencies for corporate client review.
• Perform reconciliation of project data and configurations based on approved standard specifications and client requirements.
• Work closely with Legal, Compliance, and Business Unit Risk to ensure regulatory requirements are adhered to related to share plan administration and the provision of financial services.
• Continuously build your technical capabilities and industry knowledge with a focus on developing an expert understanding of the Shareworks platform and how share plan trends are evolving over time.
• Support the long-term evolution of the Special Projects and Implementations department by contributing to goal-setting activities, workshops, and other strategic initiatives.
• Work closely with cross-functional departments to ensure a seamless transition from implementations to operations on completion of projects – including robustly documenting client requirements and processes.

Requirements

• Previous relevant experience in share plan administration, client service, project management, SAAS implementations, and / or financial services.
• Experience managing all aspects of a project including: Project plan creation, stakeholder management, milestone governance, and technical project execution.
• Confident working with MS Office suite of products including Excel, Project, Outlook, and
• Ability to confidently manage client expectations, communicate deliverables, and elevate at-risk milestones.

• Understanding of the share plan industry and familiarity with equity administration platforms is highly beneficial.
• Experience working on client implementations or corporate onboardings, data migration projects, and / or technology system configurations.
• Bachelor’s degree in Finance, Business, Commerce, Accounting, or similar area.

Experience working with Atlassian products (JIRA, Confluence).

This is a full time role based in Sydney office.

Salary range $70k – 80k base
