Job summary

Smartgroup is seeking a Settlements Support Officer to join our operations team in Melbourne. You will support the novated leasing process before and after settlement, ensuring accuracy, compliance, and efficiency across all steps.

This customer-facing role requires attention to detail, strong communication, and the ability to liaise with customers, financiers, employers and dealers while maintaining high service standards.

Qualifications

  • 1+ year experience in finance or compliance-based role.
  • Proven Customer Service experience.
  • Strong attention to detail.
  • Ability to multitask under tight deadlines.
  • Excellent organisational skills.
  • Familiarity with credit application processes or leasing documentation (preferred).

Responsibilities

  • Attend inbound and outbound customer calls and emails.
  • Carry out a range of administrative activities to support a customer-centric Settlements Team.
  • Review key documents and update systems to ensure accuracy and compliance.
  • Liaise with customers, financiers, employers and dealers to confirm documentation is complete and compliant.
  • Provide timely, accurate and high-quality customer service to internal and external stakeholders.
  • Ensure data entry and system updates are accurate and aligned with compliance.
  • Identify queries needing attention and escalate where required.
  • Collaborate with internal teams to resolve customer queries.

Are you detail-driven and process-oriented with a knack for managing documentation and credit workflows? We're looking for a Settlements Support Officer to join our operations team, supporting the novated leasing process before and after settlement—ensuring accuracy, compliance, and efficiency every step of the way.

This is a customer-facing role, ideal for someone who thrives in customer service, managing documentation, liaising with internal teams and external stakeholders, and ensuring all settlement processes are completed to the highest standard.

Key Responsibilities include:

  • Attend to both inbound and outbound customer calls and emails
  • Various key administrative activities, including to support a customer centric Settlements Team

  • Liaise with customers, financiers, employers, and dealers to ensure documentation is complete and compliant as required

  • Identifying queries which require additional attention and provide feedback
  • Supporting and liaising with internal teams to solve customer queries

What you will bring:

  • 1+ year experience in finance, or compliance-based role
  • Proven Customer Service experience and ability
  • Strong attention to detail and ability to manage multiple tasks under tight deadlines
  • Excellent organisational and time management skills
  • Familiarity with credit application processes or leasing documentation (preferred)
  • Strong written communication skills and ability to work independently
  • Comfortable working in a structured, process-driven environment
  • Proficiency with internal systems and documentation workflows
