Job summary

dormakaba Hallam is seeking an organised Service Scheduler to join our national service team. You will coordinate preventative maintenance across multiple sites, scheduling work orders, tracking progress, and communicating with technicians and customers.

The role is office-based in Hallam, Monday to Friday, with a focus on efficiency, accuracy, and timely reporting. You will use dashboards and service software to monitor activity, manage changes, and support contract commitments.

Qualifications

• Prior experience in scheduling or coordination within a service industry.
• Strong customer service skills and professional communication.
• Ability to analyse, prioritise, and manage multiple priorities.
• Advanced computer literacy; experience with service software such as ServiceMax.
• Excellent time management and attention to detail.
• Ability to work under pressure in a fast-paced, high-interaction team.
• Good phone manner and customer etiquette.

Responsibilities

• Schedule, assign, and monitor Planned Maintenance work orders.
• Monitor open/overdue work orders and escalate delays.
• Manage rescheduling due to absenteeism and communicate changes.
• Coordinate with agents and subcontractors for ETAs and job completion.
• Prioritise national and Tier 1 accounts and obtain POs.
• Collaborate with Service Managers, Facilities Managers, and Reactive Team.
• Use PM dashboards and reporting tools to monitor performance.
• Handle incoming calls from support teams relating to Planned Maintenance.
• Prepare and provide reports as required.
• Comply with laws, regulations, company policies, procedures, and Code of Conduct.
