Job summary

Queensland Health is seeking a permanent, full-time Administrative Assistant to support the Women, Children and Family Service Line. You will provide confidential administrative and secretarial support, coordinate high-level meetings, and manage diaries for Service Line Directors.

You will build relationships with stakeholders, assist in resolving patient or public complaints, and contribute to policy development and training materials. A values-driven, flexible workplace is offered.

  • Provide high level administrative and secretarial support to the Women, Children and Family (WCF) Service Line.
  • Coordinate high level meetings, agendas and minutes.
  • Maintain current weekly and daily itineraries/diaries for Service Line Directors.
  • Liaise with stakeholders and assist in resolving complaints by patients or the public.
  • Assist with vacancies, commencements, terminations, transfers and promotions.
  • Contribute to quality improvement initiatives and policy development.

Permanent full time opportunity to support the Women, Children and Family Service Line by delivering high-quality administrative and secretarial support, helping teams provide exceptional care and services.

About the role

Permanent full time opportunity to provide high level, efficient, professional and confidential administrative and secretarial support to the Women, Children and Family (WCF) Service Line.

About you

Our ideal candidate will be someone who can carry out the following key accountabilities in accordance with the Metro North Health's values:

  • Oversee and manage high level administrative and secretarial functions for the Service Line including the monitoring and distribution of correspondence, briefings and other documentation, preparing correspondence/documents, records management, and maintaining current weekly and daily itineraries/diaries as required for the Service Line Directors.
  • Coordinate high level meetings, produce and distribute agendas and minutes as required, follow up and complete action items arising from meetings.
  • Use effective communication and interpersonal skills to build and maintain effective working relationships with stakeholders and assist in the resolution of complaints made by patients or the public.
  • Perform tasks related to processing vacancies, commencements, terminations, transfers, and promotions.
  • Undertake quality improvement initiatives, projects including the development and implementation of policies, procedures, guidelines and prepare materials and conduct training to facilitate effective administrative functions and document management processes.
  • Provide advice and assistance to senior staff both within and external to Queensland Health on matters of protocol relating to the Service.
