ACOS Personnel is seeking a Service Administrator for a 3-month temporary contract at Sydney Olympic Park. The role focuses on coordinating service and repair units from enquiry to completion, with strong emphasis on timely customer updates and high service levels.
The successful candidate will manage multiple priorities, interact with customers, service centres, suppliers and internal teams, and provide admin support to Operations. On‑site in Sydney.
An exciting opportunity is available for an experienced Service Administrator to join a well-established organisation on a 3-month temporary contract, based onsite at Sydney Olympic Park.
This is a hands-on coordination role suited to an organised and customer-focused administrator who enjoys managing multiple priorities and working with customers, service centres, suppliers and internal teams.
You will be responsible for coordinating service and repair units from initial customer enquiry through to completion, ensuring customers receive timely updates and a high level of service throughout the process.
Your main responsibilities include:
Act as the key point of contact for new and existing customers requiring Service & Repair support via phone, email and face-to-face interactions.
Plan and coordinate the timely turnover of service and repair units.
Liaise with Service Centres, internal personnel and factories regarding service and repair requirements.
Coordinate technical support, service assistance, cost estimates, spare parts pricing and availability.
Manage the return of service units, including:
Serviceability and warranty checks
Assessment costings
Repair quotations and lead times
Factory clearance
Accurately manage and record service units using internal systems, including SAP and Excel.
Coordinate documentation, correspondence and shipping for service units.
Keep customers informed throughout the service and repair process.
Manage SAP processes relating to the dispatch and return of service units, including Purchase Orders, Sales Orders, Invoices and Credit Card processing where required.
Maintain accurate filing and documentation following service completion.
Follow up customers regarding service enquiries and annual calibration requirements.
Provide administrative support to the Operations Manager and Sales Team as required.
Ideally, you will have;
Previous experience in administration, customer service, service coordination or a similar role.
Excellent organisation and attention to detail.
Experience using Microsoft Excel.
Experience with SAP or similar ERP systems is highly desirable.
The ability to manage multiple priorities and meet deadlines.
A proactive, reliable and solutions-focused approach.
Strong follow-up skills and a commitment to providing excellent customer service.
Administration experience within a technical service, engineering, manufacturing, equipment or repair environment will be highly regarded.
