Neighbourhood Medical in Toowong, Brisbane, is seeking an experienced Medical Reception Team Leader to oversee the front desk and admin team, ensuring smooth patient flow and strong support for doctors.
You will lead staffing and HR processes, manage patient interactions and billing, and contribute to a culture of unhurried, patient-first care in a purpose-built clinic.
Medical Reception Team Leader: GP Practice, Toowong
Neighbourhood Medical is a private-billing, GP-owned general practice in Toowong, specialising in women's and children's health. We have recently moved to a beautiful purpose-built clinic and doubled in size. We're known for our "slow medicine" philosophy: unhurried, relationship-based care that puts patients first.
We're looking for an experienced medical receptionist who is ready to lead. You'll set the tone for every patient's experience of our practice and support a team that's already strong and cohesive.
You'll lead our reception and admin team day to day. That means making sure the front desk runs smoothly, patients feel genuinely cared for, and our doctors are well supported. You'll be part of the practice's leadership team, working closely with practice management, the Practice Principals and our Nurse Team Leader.
Key responsibilities include:
Managing the reception roster, including leave requests and short-notice cover, to keep the practice well staffed while managing staffing costs
Supervising and supporting the reception team, including taking part in performance management and encouraging adherence to HR policies
Overseeing front-desk operations, including appointments, patient flow, billing and Medicare claiming
Managing day-to-day banking, Medicare enquiries, debt collection and billing corrections
Supporting the team with patient interactions, such as managing wait times, explaining billing, and receiving and documenting feedback
Supporting practice management with reception recruitment and with developing training plans for new receptionists
Attending weekly leadership meetings and helping run reception team meetings
Nurturing our practice culture by listening to staff feedback and raising emerging HR issues early
Identifying improvements to reception workflows and systems
Working on the front desk alongside your team
At least 3 years' medical reception experience, including GP practice experience (essential)
Experience leading or supervising a reception or admin team, or a clear readiness to step into leadership, along with a willingness to build your skills in HR and rostering
Best Practice experience is highly regarded
Confidence with Medicare and private billing
A calm, organised approach and the ability to manage competing demands
Excellent communication and problem-solving skills, and genuine warmth with patients
Alignment with our values: excellent communication, healthy boundaries, a slow medicine approach, self-care for staff, and efficient, reliable and responsive systems
A beautiful, purpose-built clinic in a convenient inner-Brisbane location
A supportive, values-driven team that models the self-care it promotes
A practice that values unhurried, high-quality care over volume
A handover period to help you settle confidently into the role
Start date: early November 2026
Applications close 18th October 2026.
