Job description

Senior Administrator + Service Delivery Coordinator, NDIS Operations

RedDoor Community Services – Mount Isa QLD

Are you the kind of person who keeps things organised, notices what needs doing and makes sure nothing gets forgotten?

Can you juggle several things at once, communicate well with different people and follow through on tasks without needing to be constantly reminded?

RedDoor is looking for acapable, organised and practical Senior Administratorto support the day-to-day operations of our disability services.

This is more than a traditional office administration role. You'll work closely with our management team, Support Workers, Supported Independent Living (SIL) Leaders and participants/clients, helping to keep the many moving parts of our services organised and running smoothly.

We're looking for someone who is dependable, approachable, adaptable and takes pride in getting things done well.

What is the role?

RedDoor provides tailored disability supports to participants across Mount Isa and Cloncurry.

Your job is to provide theadministrative and coordination support that helps our team deliver those services effectively.

You'll work closely with the Business Manager, following established processes and management direction, while taking responsibility for keeping administrative tasks, communication, records and follow-ups on track.

You won't be responsible for making higher-level operational or participant support decisions. However, you'll need to recognise when something needs attention, gather the relevant information and know when to escape it.

We want someone who doesn't simply wait to be given the next task, but can see what needs doing and take the initiative to keep things moving.

What might your day look like?

No two days are quite the same, and that's part of what makes this role interesting.

You might start your morning adjusting a roster after a staff member calls in sick, then follow up some missing shift notes, help organise a new participant's paperwork, respond to email or phone enquiries or arrange a meeting with a Support Coordinator.

Later, you could be visiting one of our SIL homes, checking on outstanding documentation, helping a Support Worker adjust their plans after a participant cancels their support, updating records or following up tasks from a meeting.

Some days several things will need attention at once.

It's a varied, hand-on role that combines office administration, people skills and practical coordination.

What you'll be responsible for:

Participant administration– coordinating onboarding, checking service documentation, ensuring initial and appointments are booked correctly, liaising with our scheduling officer, maintaining records and undertaking routine communication.

Staff communication and follow-ups– sharing information, communicating management instructions and following up outstanding tasks.

Records and compliance administration– checking shift notes, medication records and other required documentation for completeness and following up missing information.

Incident administration– gathering information, maintaining records and tracking follow-up actions as directed.

Service coordination– ensuring each participant's schedule aligns with their contract for service (service agreement), and assisting with participants' external appointment coordination.

Communication with stakeholders– liaising with participants, families, Support Coordinators and other professionals on routine matters.

Service quality – conducting routine service quality checks, spending time where supports are delivered, observing day-to-day practices and gathering participant feedback to help ensure services align with RedDoor's standards, while identifying and sharing with management any areas where follow-up or additional support may be needed.

Rosters and staffing assistance– assisting with updating rosters and reviewing for efficiencies, recording staff availability and coordinating routine changes.

Keeping things on track– maintaining task lists, monitoring deadlines, identifying gaps and ensuring outstanding matters are brought to the right person's attention. You'll be working within established RedDoor procedures and under the direction of management, with support available when decisions or more complex matters arise.

Who we're looking for:

Who you are matters just as much to us as what's on your résumé. We're looking for someone approachable, dependable, capable and calm under pressure.

Someone who:

Is naturally organised and good at keeping track of lots of moving parts.

Takes initiative and follows things through without needing to be chased.

Communicates clearly, professionally and concisely.

Is comfortable speaking with staff, participants, families and other professionals.

Can work independently while following direction and established processes.

Gathers the relevant information before escalating, rather than simply passing the problem upwards.

Can manage competing priorities without becoming overwhelmed.

Is confident using computers (Apple) and learning new systems.

Can handle sensitive information and difficult conversations professionally.

Is flexible, practical and willing to help wherever needed.

Maintains professional boundaries and doesn’t get caught up in workplace drama.

Takes pride in doing things properly, not just ticking them off a list.

Importantly, you care about the quality of support people receive.

At RedDoor, meeting minimum requirements matters, but so does providing a service that is reliable, thoughtful and genuinely valuable to the people we support.

What experience do you need?

We're keeping this fairly open because we're more interested in finding the right person than a particular career background.

You might have worked as a Senior Administrator, Executive Assistant, Office Coordinator, Personal Assistant or in another busy service environment where organisation, communication and attention to detail are essential.

Experience in disability, health, aged care or community services would be valuable, but isn't essential.

Strong administration skills, good computer literacy and excellent communication are important for this role.

You need a current driver's licence and be willing and eligible to obtain relevant worker screening checks and complete required e-learning.

RedDoor will provide training to help you understand our services, systems and procedures.

Location and availability

You will be based at ourMount Isa centre, but you definitely won't spend all day behind a desk.

You also visit our SIL homes and other service locations as needed to assist with administration, documentation and practical coordination.
