Job summary

Lightning HR PTY LTD on the Sunshine Coast is seeking a proactive Scheduling Coordinator for a full-time role. You’ll keep customers, jobs and trades moving, book and allocate work, and handle changes to ensure schedules run smoothly.

Ideal candidates will have scheduling or service coordination experience, and be comfortable with scheduling/job management software and basic invoicing. Xero experience is highly regarded.

Qualifications

• Experience in scheduling, service coordination or trades administration.
• Familiarity with fast-moving service environments such as construction or maintenance is advantageous.

Responsibilities

• Coordinate and manage a busy daily schedule.
• Book and allocate jobs to trades and technicians.
• Juggle last-minute changes and rearrange schedules as needed.
• Speak with customers and keep them updated.
• Manage incoming calls, emails and job enquiries.
• Prepare and follow up quotes.
• Order materials and coordinate with suppliers.
• Track jobs from booking to completion.
• Assist with invoicing and general administration.
• Ensure nothing gets forgotten or left behind.
• Work closely with the team to keep the day running smoothly.

Scheduling Coordinator – Are You the One Who Keeps Everything Moving?

Sunshine Coast | Full-Time | $75,000–$85,000 + Super

Lightning HR is searching for an experienced Scheduling Coordinator to join a successful and growing Sunshine Coast business.

This is NOT a role where you'll sit around waiting for something to happen.

The phone rings. A job changes. A tradie needs moving. A customer needs an update. Materials need ordering. Another urgent job lands in the schedule.

And you're the person who pulls it all together.

If you love being busy, solving problems, talking to people and getting genuine satisfaction from seeing a packed schedule come together, this could be your perfect role.

What You'll Be Doing

You'll be right in the middle of the action, helping keep customers, jobs and trades moving every day.

• Coordinating and managing a busy daily schedule
• Booking and allocating jobs to trades and technicians
• Juggling last-minute changes and rearranging schedules when required
• Speaking with customers and keeping them updated
• Managing incoming calls, emails and job enquiries
• Preparing and following up quotes
• Ordering materials and coordinating with suppliers
• Tracking jobs from initial booking right through to completion
• Assisting with invoicing and general administration
• Making sure nothing gets forgotten, missed or left sitting
• Working closely with the wider team to keep the day running smoothly

Who We're Looking For

We want someone who genuinely loves scheduling.

You'll ideally have previous experience in scheduling, service coordination, trades administration, construction, maintenance or another fast-moving service environment.

You'll be someone who:

• Can confidently manage a busy and constantly changing schedule
• Has previous scheduling or service coordination experience
• Has worked with scheduling/job management software
• Is confident speaking with customers and tradespeople
• Can handle multiple priorities without losing track of the details
• Thinks ahead rather than waiting to be told what to do
• Is comfortable picking up the phone and getting things sorted
• Has strong computer and administration skills
• Brings a positive attitude and enjoys being part of a team
• Takes ownership and follows things through to completion

Xero experience would be highly regarded.
