Job summary

Star Jewels Pty Ltd in Sydney is seeking an operations and office manager to own order flow, inventory accuracy, supplier and customer admin, and the office operations. You will drive efficiencies and partner with the owner to shape how the business runs daily.

Ideal candidates have experience in operations or e-commerce fulfilment, strong numerical accuracy, and excellent written and spoken communication. Knowledge of ERP or Shopify is a plus while watches interest helps.

Qualifications

• Familiar with ERP systems (NetSuite) and Shopify is a strong advantage.
• Strong numerical accuracy and attention to detail.
• Clear, professional communication with customers and suppliers.
• Ownership mindset to identify and fix problems.
• Interest in watches is a plus but not required.

Responsibilities

• Oversee daily order processing, dispatch and returns.
• Maintain inventory accuracy in NetSuite.
• Liaise with distributors and suppliers on POs, deliveries, warranties and credits.
• Manage customer service by phone and email.
• Report weekly on orders, stock, returns and service metrics.
• Identify and implement process improvements.

About us

Starbuy (starbuy.com.au), operated by Star Jewels Pty Ltd, is an authorised Australian online retailer of premium Japanese and Swiss watches. We've been trading for 20 years and ship to customers across Australia and New Zealand from our Alexandria office and warehouse. We're a small team of 3, which means what you do here is visible and makes a difference.

About the role

This is the role that keeps the business running day to day. You'll own order flow, inventory accuracy, supplier and customer admin, and the office itself, reporting directly to the owner. It suits someone who likes fixing processes, notices when numbers don't add up, and would rather run things than be told what to do each morning.

What you'll do

Oversee daily order processing, dispatch and returns so customers get the right watch, on time

Keep inventory accurate in our ERP (NetSuite): receipting, stock counts, investigating variances

Liaise with brand distributors and suppliers on purchase orders, deliveries, warranty claims and credits

Manage customer service by phone and email, including the difficult cases.

Report weekly on orders, stock, returns and service metrics, and flag problems before they grow

Identify and implement improvements to how we work, from the safe room layout to system workflows

What we're looking for

Experience in operations, office management or e-commerce fulfilment, ideally in a small or mid-sized business

Confidence with systems. Experience with NetSuite or another ERP, and Shopify, is a strong advantage

Good with numbers and strict about accuracy; we sell high-value products and the details matter

Clear, professional written and spoken communication with customers and suppliers

Someone who takes ownership: sees a problem, fixes it, and tells us afterwards

An interest in watches helps but isn't required

What we offer

Salary of 70k - 80k plus super, depending on experience

Monday to Friday, 9 am to 5 - 5.30pm
