Job summary

Empowered Living Choices (ELC) is seeking an experienced Rostering Coordinator to join our fast-paced team on a full-time basis. You will manage rosters across participants, coordinate staff allocations, and ensure accurate timesheets and payroll support.

A compassionate approach to working with people living with disability is essential. You will thrive in a busy environment, maintain confidentiality, and build positive relationships with staff and participants while upholding our Love,

Qualifications

  • Demonstrated rostering experience within disability, community services or healthcare.
  • Strong organisational and multitasking abilities to manage multiple rosters and tasks.
  • Excellent written and verbal communication with staff, participants and teams.
  • High attention to detail and confidentiality in handling sensitive information.
  • Experience with timesheets and payroll-related administration is preferred.

Responsibilities

  • Coordinate and maintain staff rosters across participants and teams.
  • Manage shift changes, cancellations, leave and staff availability.
  • Match staff to participant needs and preferences.
  • Communicate professionally with staff, Team Leaders and internal teams.
  • Monitor roster coverage and identify staffing gaps proactively.
  • Assist with timesheet management and ensure accurate hours logged.
  • Support payroll processes by resolving timesheet or roster discrepancies.
  • Maintain staff and roster data in systems and respond to enquiries.
  • Build relationships and support staff while working independently when needed.
  • Ensure rostering practices align with organisational requirements and participant needs.

Job description

Empowered Living Choices (ELC) is looking for an experienced and highly organised Rostering Coordinator to join our growing team.

This is a full-time position suited to someone who thrives in a fast-paced environment, enjoys working with people and has a strong understanding of rostering within the disability, community services, healthcare or similar sector.

About the Role

The Rostering Coordinator will be responsible for ensuring our participants have the right support, with the right staff, at the right time.

Your responsibilities will include:

  • Coordinating and maintaining staff rosters across multiple participants and teams
  • Managing shift changes, cancellations, leave and staff availability
  • Matching staff to participant needs, preferences and requirements
  • Communicating professionally and promptly with staff, Team Leaders, participants and internal teams
  • Monitoring roster coverage and proactively identifying staffing gaps
  • Assisting with timesheet management and ensuring accurate recording of hours worked
  • Supporting payroll processes by identifying and resolving timesheet or roster discrepancies
  • Maintaining accurate staff and roster information within our systems
  • Responding to roster-related enquiries and resolving issues efficiently
  • Building positive working relationships with staff and supporting them where required
  • Ensuring rostering practices align with organisational requirements and participant needs
  • Maintaining confidentiality and handling sensitive information appropriately
  • Working collaboratively with the wider ELC team while being confident working independently
  • Managing multiple tasks and competing priorities throughout the day while remaining organised, calm and accurate
About You

We are looking for someone who is:

  • Experienced in rostering – previous rostering experience is essential
  • Highly organised with excellent multitasking skills
  • Able to manage multiple rosters, staff enquiries, timesheets and administrative tasks simultaneously
  • Able to prioritise competing tasks and deadlines effectively
  • Reliable, accountable and dependable
  • Friendly, approachable and supportive, while maintaining professionalism
  • A strong communicator who can build positive relationships with a diverse range of people
  • Confident using technology and rostering/timekeeping systems
  • Experienced withtimesheets and/or payroll-related administration
  • Able to problem-solve quickly and calmly when staffing issues ariseProactive and able to anticipate potential roster gaps before they become an issue
  • Comfortable making decisions and taking ownership of your work
  • Able to work autonomously and unsupervised to a consistently high standard
  • Someone who takes pride in accuracy and getting the details right
  • Compassionate and understanding of the needs of people living with disability
