This is a genuinely varied role that sits at the heart of the business. You'll own the roster across our home care clients, run the day-to-day administration of the office, and provide direct PA support to the Managing Director.
You'll report directly to the Managing Director and work closely with our Area Manager and Clinical Nurse Consultant.
This is a permanent part‑time position, working on a hybrid basis between our Chatswood head office and home. Because our sites run 24/7, the role includes after‑hours availability on a rotating basis to handle urgent roster changes and shift cover by phone.
Rostering
Build, publish and maintain rosters across multiple sites, matching staff skills and competencies to each participant's support needs
Manage shift swaps, sick leave, vacancies and last‑minute cover, keeping every shift filled with the right person
Provide after‑hours phone support on a rotating basis for urgent shift gaps and staff call‑outs
Ensure rosters comply with the SCHADS Award - minimum engagements, breaks, sleepovers, broken shifts and overtime
Maintain staff availability, leave and compliance records (NDIS Worker Screening, First Aid, mandatory training expiries)
Reconcile timesheets against rosters each fortnight to support payroll and NDIS claiming
Run the office day to day - shared inbox, phones, supplies, filing and general enquiries
Coordinate staff onboarding paperwork, participant service agreements and intake documentation
Keep participant and staff master data accurate across our systems (Monday.com, rostering software, Microsoft 365)
Support audit and compliance readiness by keeping documentation current and well organised
Manage the MD's diary, inbox and meeting logistics
Prepare correspondence, reports and presentations
Track action items and follow up across the team so nothing falls through the cracks
Handle confidential matters with discretion
2+ years' experience in rostering or scheduling within NDIS, disability, aged care or healthcare
Working knowledge of the SCHADS Award and how it drives roster decisions
Experience with rostering/client management software - you pick up new systems quickly
Confident with Microsoft 365, particularly Excel and Outlook
Calm and decisive under pressure -
Able to be on call after hours on a rotating basis and respond promptly to urgent roster issues
Excellent written communication and a professional phone manner
Highly organised with strong attention to detail
Discreet and trustworthy - you'll be handling sensitive participant and business information
Current NDIS Worker Screening Check (or willingness to obtain) and full Australian working rights
