Job summary

Maari Ma Health is seeking an Office Manager to coordinate day-to-day administrative and operational requirements, supporting managers and staff with practical, reliable admin and a focus on efficiency and a welcoming office environment.

The role reports to the Executive Manager Finance and contributes to ensuring the Regional Office operates effectively, with a team delivering culturally safe, customer-focused services to colleagues and community.

Qualifications

  • Experience in office management, administration or a similar role coordinating administrative and operational functions.
  • Strong organisational and time management skills to prioritise competing demands, meet deadlines and maintain accurate records.
  • Ability to provide high-quality administrative support to managers and staff, with a focus on customer service and responsiveness.
  • Experience coordinating office systems, processes and resources to improve efficiency and effectiveness.
  • Strong communication and interpersonal skills to build positive relationships across all levels of the organisation.
  • Ability to work independently and use sound judgement, while contributing as part of a team.

Responsibilities

  • Lead the team to provide culturally safe and customer service focussed administrative and support functions to internal and external stakeholders.
  • Oversee the management of Maari Ma’s assets, vehicle fleet, facilities and staff housing.
  • Manage the organisation's corporate records.
  • Manage the workflow of the regional office admin team ensuring timely and accurate processing of travel.
  • Implementation of systems and operational processes to ensure monitoring, accountability and compliance across the organisation.
  • Deliver high-quality administrative support to the CEO, Executive Team, employees and contractors, contributing to the effective operation of Regional Office services.

You will be responsible for supporting the effective day-to-day operation of the office and will understand that good office management is ultimately about creating an organised, efficient and welcoming environment that enables others to do their jobs well.

About the Role – Office Manager

Reporting to the Executive Manager Finance, the Office Manager will play an important role in coordinating the day-to-day administrative and operational requirements to support Maari Ma. The role will provide practical support to managers and staff, assist with office systems and processes, and contribute to ensuring the office operates efficiently and effectively.

The Regional Office team is at the centre of the organisation and plays a key role in ensuring the organisation, staff and services are supported to operate effectively and efficiently and deliver their professional services.

The team provides a wide range of culturally safe and customer focused administrative and support services to colleagues, clients and community.

Key Responsibilities
  • Lead the team to provide culturally safe and customer service focussed administrative and support functions to internal and external stakeholders

To be successful in this role you will have:
  • Demonstrated experience in office management, administration or a similar role, with the ability to coordinate a range of administrative and operational functions.
  • Strong organisational and time management skills, including the ability to prioritise competing demands, meet deadlines and maintain accurate records.
  • Demonstrated ability to provide high-quality administrative support to managers and staff, with a strong focus on customer service and responsiveness.
  • Demonstrated experience coordinating office systems, processes and resources, with the ability to identify opportunities to improve efficiency and effectiveness.
  • Strong communication and interpersonal skills, with the ability to build positive working relationships and work effectively with people across all levels of an organisation.
  • Demonstrated ability to work independently and use sound judgement, while also contributing positively as part of a team.
Salary up to $136,436gross per annum+ super (depending on qualifications and experience)
