Job summary

Ontrio Projects, a Sydney-based commercial fitout specialist, seeks a capable project coordinator to work closely with the Director, Project Manager and Estimating team. You will coordinate commercial fitout projects from award through completion, handling coordination, procurement, subcontractor management, commercial administration and client communications.

You will take ownership of work packages, assist with budgets, variations and progress claims, and support delivery under close guidance

Responsibilities

• Coordinate day-to-day project activities with the Project Manager and site teams.
• Own assigned work packages, procurement activities and delivery milestones.
• Communicate with subcontractors, suppliers, consultants and clients to progress projects.
• Assist with construction programmes, sequencing, logistics and schedules.
• Attend site inspections, progress and coordination meetings.
• Identify and help resolve programme, procurement and coordination challenges.
• Support delivery of smaller projects under guidance of the Project Manager.
• Coordinate approvals, compliance documentation, defects and handovers.
• Manage supplier quotations, purchase orders and subcontractor procurement.
• Assist with project budgets, cost tracking, variations and progress claims.

Job description

This is an exciting opportunity for someone with a foundation in commercial construction who's ready to take the next step towards managing projects independently. Working closely with the Director, Project Manager and Estimating team, you'll play an active role in coordinating commercial fitout projects from award through to completion. You'll be trusted with real responsibility across project coordination, procurement, subcontractor management, commercial administration and client communication.

Key responsibilities

• Coordinate day-to-day project activities alongside the Project Manager and site teams
• Take ownership of assigned project work packages, procurement activities and delivery milestones
• Communicate directly with subcontractors, suppliers, consultants and clients to keep projects progressing
• Assist with construction programmes, trade sequencing, site logistics and project schedules
• Attend site inspections, progress meetings and coordination meetings, following through on agreed actions
• Proactively identify and help resolve programme, procurement and coordination challenges
• Support the delivery of smaller projects under the guidance of the Project Manager
• Coordinate project approvals, compliance documentation, defects and handovers
• Manage supplier quotations, purchase orders and subcontractor procurement coordination
• Assist with project budgets, cost tracking, variations and progress claims

About you

• Minimum 2 years' experience in commercial construction, project coordination, contract administration or a similar role
• Experience in commercial fitout, retail, hospitality or workplace projects is highly regarded
• An excellent communicator - confident, personable and comfortable engaging with people over the phone and face-to-face
• Strong organisational skills with the ability to manage multiple priorities and follow through on commitments
• Proactive, resourceful and solutions-focused, with the confidence to take initiative
• Practical understanding of construction sequencing, procurement and project documentation
• Commercial awareness, including budgets, variations and cost tracking
• Comfortable using Microsoft Excel and project management software
• Eager to develop into a Project Manager and progressively take ownership of project delivery
