Kuda Bathrooms Gold Coast is seeking an experienced Project Coordinator to manage administration, procurement and client communications across bathroom renovation projects. You will coordinate onboarding, design selections, and pre-construction documentation, reporting to the Project Manager and working with Sales, clients and suppliers.
You will guide clients through design and selections, manage timelines and budgets, and ensure accurate project records and procurement processes are followed
Kuda Bathrooms Gold Coast is looking for an experienced Project Coordinator who combines strong administration, procurement and client communication skills with practical knowledge of bathroom renovations.
This is a varied, hands‑on role helping clients move from their initial sales agreement through design, selections, approvals and preparation for construction. You will bring the details together, keep things moving and help make the renovation experience clear and enjoyable for our clients.
You do not need to be an interior designer or a builder. You do need to understand bathroom design, products and construction well enough to guide clients, coordinate the details and recognise when technical guidance is needed.
You will report directly to our Project Manager, working closely with Sales, clients, suppliers and our administration team.
Under the PM’s guidance, you will take ownership of client onboarding, design and selections coordination, procurement and pre‑construction documentation. Your role is to help clients understand their project, make informed decisions and stay on track with selections, approvals and deadlines.
You will have clearly defined authority to make day‑to‑day design and selections decisions within the agreed project scope. We are looking for someone who can resolve routine questions confidently, check the details and follow things through.
The Project Manager will be your technical authority and point of support for tricky or technically challenging build‑related matters. You will work with them on construction feasibility, installation requirements and changes that could affect the build. You will not be expected to make complex construction decisions on your own.
Your responsibility is to identify those matters early, bring the relevant information to the PM and follow the agreed solution through with clients, suppliers and project documentation.
This is a role with genuine ownership and support—not simply taking messages or passing questions from one person to another.
Work with Sales to coordinate complete handovers and welcome clients into the pre‑construction process.
Help clients understand their plans, inclusions, allowances, responsibilities and the decisions they need to make.
Explain timelines, selections deadlines and variation procedures clearly and positively.
Maintain regular communication, follow up outstanding decisions and help clients feel informed and supported.
Guide clients through practical choices of fixtures, fittings, tiles, finishes and accessories, balancing appearance, functionality and budget.
Resolve routine design and product questions within the agreed scope and your authority.
Coordinate minor design refinements, seeking the PM’s guidance where a decision could affect construction, services or installation.
Prepare clear selections schedules and design documentation that accurately reflect the client’s approvals.
Read and interpret floor plans, elevations, specifications and dimensions.
Check selected products against plans, measurements, clearances and installation requirements.
Identify inconsistencies or missing information early and work with suppliers and the PM to resolve them.
Maintain accurate drawings, mark‑ups, product specifications and supporting information for construction planning.
Calculate and check tile and material quantities, and prepare accurate product and material schedules.
Obtain supplier pricing, check availability and lead times, and place purchase orders within approved budgets and authority.
Track orders, coordinate deliveries and follow up shortages, delays or discrepancies.
Monitor client‑supplied items and ensure the necessary specifications and delivery information are recorded.
Good procurement is a significant part of this position. You will enjoy getting the details right and making sure the right products arrive when they are needed.
Identify when selections or client requests change the agreed scope or exceed allowances.
Obtain pricing and coordinate variation documentation and written client approvals through our established contracts process.
Ensure changes are properly captured and approved before affected orders or work proceed.
Maintain accurate project records in Buildertrend and our internal systems, including selections, pricing, approvals and correspondence.
Coordinate and follow up required documentation, including body corporate approvals, referring technical requirements to the PM.
You will work closely with Sales, the PM and our administration team to make sure information is complete, responsibilities are clear and outstanding items are followed through.
The goal is a well‑prepared project: informed clients, confirmed selections, accurate documentation and orders, with technical questions identified and worked through with the PM early.
You will have experience in a similar project coordination, selections, procurement or pre‑construction role, with practical exposure to residential renovations and a sound understanding of bathrooms.
We are looking for:
Strong administration and organisation: accurate records, reliable follow‑up and the ability to coordinate several projects at different stages.
Practical bathroom knowledge: familiarity with fixtures, fittings, finishes, common construction constraints and how product choices affect installation.
Confidence with drawings and numbers: a sound understanding of drafting and the ability to interpret plans, specifications and dimensions, and calculate material quantities.
Procurement experience: placing and tracking orders, coordinating suppliers and arranging deliveries.
Commercial awareness: a working understanding of residential building contracts, scope, allowances, variations and client approvals.
Excellent client communication: the ability to explain things clearly, build trust and hold deadlines without making the process feel difficult.
Confidence with systems: experience with construction software, Excel or Google Sheets. Buildertrend experience is highly regarded.
Experience in a bathroom design, bathroom showroom or building supply environment, such as Reece, Tradelink or Beaumont Tiles, may be valuable where it includes practical renovation knowledge, technical product advice and coordination responsibilities.
You do not need a formal design qualification. The combination of practical understanding, sound judgement, strong administration and client care matters most.
You take ownership, follow through and keep people informed. You are comfortable making decisions within your authority and asking for guidance when something needs a closer technical look.
You enjoy working as part of a team, respect clear responsibilities and understand that your preparation makes a real difference to the people delivering the project on site.
You are also willing to learn. As our business evolves, you will be comfortable adapting to new systems, contributing ideas and helping improve the way we work.
