Job summary

AIA Australia is seeking a Project Coordinator to support Technology BAU activities, governance reporting, and procurement-to-pay processes. This hybrid roleBased in Melbourne, it involves data tracking, stakeholder engagement, and vendor payments, with emphasis on accuracy and timely reporting.

The ideal candidate will have project coordination experience across vendors, strong financial acumen, and the ability to learn and apply new tools quickly while maintaining high-quality governance

Qualifications

• Previous experience in a project coordinator role across multiple vendors.
• Strong understanding of project finances and accruals.
• Strong financial, analytical and organisational skills, with the ability to manage accurate reporting and forecasting.

Responsibilities

• Coordinate end-to-end project support activities, including reporting, governance packs, data tracking and workforce planning updates.
• Manage financial administration and Procure to Pay processes to ensure accurate spend tracking, forecasting, reconciliation and timely vendor payments.
• Administer project systems and tools, including user onboarding/offboarding, access management and support across timesheets, financial trackers and Jira or Confluence.
• Drive continuous improvement by evaluating tools and processes, and proactively resolving or escalating issues in a timely manner.
• Build strong working relationships with internal and external stakeholders to ensure smooth delivery, communication and alignment.

The role manages financial tracking, resourcing, and system user administration for delivery support tools.
