Job summary

AIA Australia in Melbourne is seeking a Project Coordinator to support Technology BAU activities and project governance reporting. You will manage financial tracking, resourcing, and system administration for delivery tools, plus Procure to Pay processes to ensure timely payments.

The role is based in our Melbourne Office with a hybrid work model on offer, collaborating with technology, finance and vendor groups to ensure high-quality administration and governance outcomes.

Qualifications

  • Previous experience working within a project coordinator role across multiple vendors.
  • A strong understanding of project finances and accruals.
  • Strong financial, analytical and organisational skills with the ability to manage reporting, forecasting and financial tracking.
  • Confident with project support tools and systems and able to learn new technologies quickly and apply them.

Responsibilities

  • Coordinate end-to-end project support activities, including reporting, governance packs, data tracking and workforce planning updates.
  • Manage financial administration and Procure to Pay processes to ensure accurate spend tracking, forecasting, reconciliation and timely vendor payments.
  • Administer project systems and tools, including user onboarding/offboarding, access management and support across timesheets, financial trackers and Jira or Confluence.
  • Drive continuous improvement by evaluating tools and processes, and proactively resolving or escalating issues in a timely manner.
  • Build strong working relationships with internal and external stakeholders to ensure smooth delivery, communication and alignment.

The Opportunity:

The Project Coordinator supports and coordinates Technology BAU activities and project governance reporting and committees. The role manages financial tracking, resourcing, and system user administration for delivery support tools. It is also responsible for overseeing Procure to Pay processes for Technology and Projects to ensure accurate and timely payments and reporting.

This role is based in our Melbourne Office, and a hybrid work model is on offer.

To do this successfully you will:
  • Coordinate end-to-end project support activities, including reporting, governance packs, data tracking and workforce planning updates.
