Aus Solar Energy Group – Clayton South VIC

We're seeking a reliable, detail-oriented Project Administrator to support the planning, coordination and administration of our residential and commercial solar installation projects across Australia. The role will coordinate project documentation, stakeholders, contractors and project activities throughout the project lifecycle, supporting the timely and effective delivery of projects.

Key responsibilities

  • Prepare, review and maintain project documentation, including project plans, contracts, work orders, variation orders, compliance records, correspondence and project filing systems.
  • Coordinate project activities and administrative requirements across internal teams, project managers, suppliers and other stakeholders to support the timely and effective delivery of solar installation projects.
  • Review and coordinate project and contract variations, liaising with relevant stakeholders to clarify changes to project scope, services, costs and delivery requirements and assisting with their implementation.
  • Respond to client, supplier and stakeholder enquiries relating to project progress, services, delivery requirements and other project matters, and coordinate the resolution of issues as they arise.
  • Liaise with project managers, contractors, suppliers and relevant professional and business stakeholders to ensure project requirements and agreed objectives are effectively coordinated and met.
  • Monitor contractor activities and work orders, follow up on outstanding work and report project variations, delays or other issues to relevant management personnel.
  • Collect and analyse project information and operational data, and prepare project progress, review and outcome reports, submissions and other documentation for management.
  • Provide administrative and project-related advice to senior management, identify matters requiring attention, and coordinate the implementation and follow-up of management decisions.

About you

  • Minimum 5 years of experience in project administration, project coordination or a similar role.
  • Demonstrated experience in project coordination, schedule tracking, document control and maintaining accurate project records.
  • Experience liaising with internal departments, external stakeholders and contractors to support project delivery.
  • Strong organisational and multitasking skills, with the ability to manage multiple project requirements and deadlines.
  • Excellent written and verbal communication skills, with strong attention to detail and accuracy.
  • Strong problem-solving skills and the ability to work independently while supporting project teams.
  • Proficiency in Microsoft Office and other relevant project administration and document management systems.
