Job summary

BGIS Global Integrated Solutions Canada in Sydney is seeking a Programmed Works Coordinator to administer and coordinate programmed maintenance for a large social housing portfolio in New South Wales. You will allocate works, track orders, and support field teams to maximize on-site time.

The role emphasizes accuracy, organisation and clear communication, with hybrid work (3 days in office, 2 days WFH after training) and a 40-hour week. Strong teamwork and independent work are valued.

• Strong administration and coordination experience in fast-paced environments.

Responsibilities

• Review new work orders and separate scope into trades.
• Create draft works programs and allocate supervisors and subcontractors.
• Issue approved work to contractors and supervisors.
• Follow up with contractors to confirm receipt of orders.
• Monitor timeframes and client due dates with current information.
• Support supervisors with drawings, plans and variation approvals.
• Maintain regular contact to keep status commentary up to date.
• Conduct random checks with contractors for status updates.
• Generate WIP reports for KPI review.
• Record all communications and history in Evolution system.
