Job summary

Brisbane City Council is seeking a Program Support Officer in the Immunisation Team within Environmental Health. You will support the Community Immunisation Program across Brisbane with frontline client service and essential administrative tasks.

You will manage records in AIR, coordinate bookings and orders, and ensure accurate data entry while delivering a welcoming, professional experience to clinic attendees.

Qualifications

  • Valid C class driver's licence; travel if required. Desirable Blue Card/First Aid.

  • Support reporting, data entry, document preparation and filing for clinic operations.
  • Provide administrative support to the Environmental Health team as required.

The Business

Compliance and Regulatory Services (CARS) branch plays a vital role in making Brisbane a safe, liveable and healthy city. Our branch leads, enables and protects the community through a diverse range of regulatory, compliance, public health and community safety functions. Within Environmental Health, the Immunisation team supports the delivery of vital public health programs that safeguard residents of all ages.

The Role

The Immunisation Team within Environmental Health delivers Council's Community Immunisation Program across various locations in Brisbane.

The Program Support Officer plays a key role in ensuring the efficient delivery of the program. As the first point of contact for clients attending clinics, you will provide a welcoming and professional experience while delivering high-quality administrative and operational support to the Immunisation Services team.

This customer-focused role requires strong communication, attention to detail and administrative skills. You will support client flow at clinics, maintain accurate records, respond to general enquiries and refer clients to nursing staff when clinical advice is required.

Key responsibilities:

  • Provide friendly and professional customer service as the first point of contact for clients attending immunisation clinics.
  • Support clinic operations by assisting with client flow, responding to general enquiries, verifying information and directing clients to nursing staff when required.
  • Accurately enter, update and maintain client and immunisation records, including information in the Australian Immunisation Register (AIR) and other databases.
  • Maintain records, spreadsheets and administrative documentation to support safe and efficient service delivery.
  • Provide administrative support for clinic operations, including bookings, purchasing, equipment and vaccine orders, and coordinating services such as waste management, security and training.
  • Assist with reporting, data entry, document preparation, filing and other administrative tasks that support clinic operations.
  • Provide administrative support to the broader Environmental Health team as required.
To be successful you will have:
  • A strong customer service focus, with the ability to communicate in a warm, welcoming and professional manner with people from diverse backgrounds
  • Demonstrated ability to provide accurate and efficient administrative, clerical and operational support in a busy service delivery environment
  • Sound communication, interpersonal and problem-solving skills, including the ability to manage enquiries, prioritise tasks and know when to refer matters to appropriate staff
  • Strong attention to detail and a commitment to confidentiality, accuracy and respectful handling of personal information
  • Competence using databases, spreadsheets and Microsoft Office programs, including Word, Excel, Outlook and Teams
  • Ability to work effectively as part of a team, support clinic operations and contribute to a smooth, organised and client-focused service
  • Possession of a valid C class driver's licence, or ability to meet the travel requirements of the role
  • While not mandatory, a current Blue Card and First Aid certification are desirable. Training may be provided where required.
