Job summary

Culture Click Co is seeking a dedicated Project Coordinator to support the Product Innovation function, working closely with the Head of Product Innovation & Commercialization to ensure multiple product-development and commercialization workstreams stay organized, visible and on schedule.

You will translate project information into clear systems, timelines, dashboards and action tracking, while coordinating meetings, preparing agendas and concise progress updates for stakeholders.

• Maintain project plans, timelines and milestone trackers across multiple product-development workstreams.
• Record agreed actions, responsibilities and completion dates.
• Track outstanding deliverables and follow up with relevant stakeholders.
• Maintain visibility of dependencies between different functions and external partners.
• Highlight approaching deadlines, delays and potential project blockers.
• Keep project information current following meetings and project updates.
• Build and maintain clear project-management and collaboration systems using platforms such as Asana, Notion, Airtable or equivalent.
• Translate project updates into visual timelines, Gantt charts, dashboards, action trackers and clear cross-functional project views.
• Maintain simple Red / Amber / Green status reporting where useful.
• Help establish a central, transparent view of project progress that relevant stakeholders can easily access.
• Ensure project systems clearly show responsibilities, deadlines, dependencies, outstanding actions and key milestones.
• Formulation and product development;

• Assist with meeting agendas and preparation.
• Capture decisions, actions, owners and deadlines.
• Update project systems following meetings.
• Follow up outstanding actions where required.
• Provide concise summaries of upcoming milestones, overdue actions and matters requiring attention.
• Reporting and presentation support
• Prepare clear project-status reports for internal meetings.
• Assist with management and stakeholder presentations.
• Turn supplied information, notes and direction into professional PowerPoint presentations and other business materials.
• Maintain straightforward spreadsheets and reporting tools where required.
• Present complex project information in a simple, visual and easily understood format.
• Business and administrative support
• Assist with coordination of suppliers, external technical partners and other stakeholders.
• Maintain organised project documentation and records.
• Assist with scheduling, documentation and general business support associated with active projects.
• Help maintain an effective filing and information-management structure across the portfolio.
• Support the maintenance of a central source of truth for key project information, documentation and decisions.
