Job summary

AM Executive Consulting is seeking a highly organized Personal Assistant and Office/Commercial Property Coordinator in Perth with a genuine 50/50 split between executive support and property portfolio coordination. You will work closely with the General Manager and senior management to keep operations running smoothly.

The role offers autonomy, direct exposure to Directors, and a full-time Monday–Friday schedule in a central Perth CBD location, with a salary around $100,000 plus superannuation,

Qualifications

  • Five+ years in a professional office environment.
  • Three+ years' experience as a Personal Assistant or senior support role.
  • Experience coordinating domestic and international travel.
  • Exposure to commercial property management or lease administration.
  • Strong organisational and time-management skills.
  • Excellent written and verbal communication.
  • High level of attention to detail and accuracy.
  • Ability to manage changing priorities, instructions and deadlines.

Responsibilities

  • Coordinate complex domestic and international travel arrangements.
  • Manage meetings, personal appointments, calendars and reminders.
  • Prepare correspondence, documents and other administrative material.
  • Maintain office filing, document management and archiving systems.
  • Manage office IT systems and liaise with external providers.
  • Maintain records relating to shareholdings and other investments.
  • Coordinate insurance policies and submitting claims.
  • Manage mail, couriers, office supplies and general administration.
  • Ensure day-to-day office operations are efficient and well organized.
  • Complete occasional personal errands and ad hoc duties.
  • Oversee day-to-day coordination of a portfolio of commercial office, showroom and warehouse properties.
  • Act as a point of contact for tenants, contractors and stakeholders.
  • Coordinate repairs, maintenance, inspections and scheduled works.
  • Keep tenants informed of maintenance and activity.
  • Conduct property inspections at lease commencements and expiries.
  • Coordinate annual inspections for showroom and warehouse properties.
  • Maintain maintenance and repair schedules.
  • Manage property records, including lease agreements and tenant insurance documentation.
  • Maintain property files per systems and procedures.
  • Support compliance with landlord and tenant lease obligations.
  • Assist with administrative matters relating to property development.

Personal Assistant / Commercial Property Coordinator

Are you an experienced Personal Assistant who enjoys variety, autonomy and taking ownership?

This is a unique opportunity to combine senior executive support with the coordination of a privately managed commercial property portfolio. Working closely with the General Manager, Directors and senior management, you will become a trusted and highly valued member of the business.

The position offers a genuine 50/50 split between personal assistance and commercial property coordination, making it ideal for someone who enjoys being across multiple priorities, building strong stakeholder relationships and ensuring everything runs smoothly behind the scenes.

The Role Personal Assistant and Office Support You will provide high-level administrative and personal support to Directors and management, including:

  • Coordinating complex domestic and international travel arrangements
  • Managing business meetings, personal appointments, calendars and reminders
  • Preparing correspondence, documents and other administrative material
  • Maintaining office filing, document management and archiving systems
  • Managing office IT systems and liaising with external providers when required
  • Maintaining records relating to shareholdings and other investments
  • Coordinating insurance policies and submitting claims
  • Managing mail, couriers, office supplies and general office administration
  • Ensuring the day-to-day operation of the office is efficient and well organised
  • Completing occasional personal errands and ad hoc duties

Commercial Property Coordination You will also oversee the day-to-day coordination of a portfolio of commercial office, showroom and warehouse properties, including:

  • Acting as a key point of contact for tenants, contractors and other stakeholders
  • Coordinating repairs, maintenance, inspections and scheduled building works
  • Keeping tenants informed of maintenance, inspections and property-related activity
  • Conducting property inspections at the commencement and expiry of leases
  • Coordinating annual inspections for showroom and warehouse properties
  • Maintaining accurate maintenance and repair schedules
  • Managing property records, including lease agreements and tenant insurance documentation
  • Maintaining property files in accordance with established systems and procedures
  • Supporting compliance with landlord and tenant lease obligations
  • Assisting with administrative matters relating to property development prior to completion

About You To be successful in this position, you will ideally have:

  • A minimum of five years' experience within a professional office environment
  • At least three years' experience as a Personal Assistant, Executive Assistant or in a comparable senior support role
  • Experience coordinating domestic and international travel
  • Previous exposure to commercial property management, facilities coordination or lease administration
  • Strong organisational and time-management skills
  • Excellent written and verbal communication skills
  • A high level of attention to detail and accuracy
  • The ability to manage changing priorities, instructions and deadlines
  • A proactive and solutions-focused approach
  • Confidence working autonomously and using initiative
  • A high level of integrity, professionalism and discretion
  • Intermediate Microsoft Word and Excel skills
  • Experience using document management, office IT or AI platforms
  • A current driver's licence and access to a reliable vehicle

Experience with systems such as NetDocuments, 1Password, Claude or similar platforms will be highly regarded but is not essential.
