Responsibilities

• Respond to customer enquiries via email and other channels promptly.
• Assist with returns, exchanges and general customer support.
• Pick, pack and dispatch online and wholesale orders accurately.
• Process all orders within agreed timeframes.
• Liaise with warehouse and courier partners to support fulfilment.
• Receive, unpack and process incoming stock deliveries.
• Conduct regular stock counts and reconcile inventory.
• Maintain stock levels across Shopify and internal systems.
• Report inventory discrepancies promptly.
• Prepare wholesale orders for dispatch with accuracy.
• Coordinate wholesale order administration and documentation.
• Arrange sample preparation and shipments as required.
• Maintain records across systems and perform data entry.
• Assist with product uploads and inventory updates.
• Generate operational reports as needed.
• Support day-to-day operations and keep an organized workspace.
• Assist with ordering of office and packaging supplies.
• Support team with projects and other duties.

Job description

Job Title: Operations & Wholesale Assistant (Part-Time)

The Employee will be employed on a part-time basis, working 2–3 days per week. Reporting to the E-commerce & Operations Executive, this role provides operational support across e-commerce fulfilment, wholesale administration and day-to-day business operations, helping ensure a seamless customer and wholesale experience.

Key Responsibilities

Customer Service

• Respond to customer enquiries via email and other customer service channels in a professional and timely manner.
• Assist with returns, exchanges and general customer support.
• Pick, pack and dispatch online and wholesale orders accurately and efficiently.
• Ensure all orders are processed within agreed timeframes.
• Liaise with warehouse and courier partners as required to support fulfilment.

Inventory & Stock

• Receive, unpack and process incoming stock deliveries.
• Conduct regular stock counts and inventory reconciliations.
• Maintain accurate stock levels across Shopify and internal inventory systems.
• Report inventory discrepancies or stock issues promptly.

Wholesale Support

• Prepare wholesale orders for dispatch, ensuring accuracy and presentation.
• Assist with wholesale order administration and documentation.
• Coordinate sample preparation and shipments as required.

Administration

• Maintain accurate records across Shopify and other business systems.
• Perform data entry, filing and general administrative duties.
• Assist with product uploads, inventory updates and operational reporting where required.

General Operations

• Support the smooth day-to-day running of the business.
• Maintain an organised and efficient workspace.
• Monitor office and packaging supplies and assist with ordering when required.
• Assist the wider team with operational projects and other duties as required.

About You

• Highly organised with excellent attention to detail.
• Reliable, proactive and able to work independently.
• Strong time management and organisational skills.
• Comfortable working across multiple systems and prioritising competing tasks.
• Previous experience in retail, e-commerce, operations or administration is preferred.
• Experience with Shopify is advantageous but not essential.
• Monday and Tuesday availability is necessary
