Job summary

We are seeking an experienced all-rounder to provide high-level support to the COO and Managing Director.

This varied role combines executive, Board and administrative support with opportunities to contribute to broader operations and collaborate with senior leadership.

Qualifications

  • Experience as an administrator or EA supporting senior leaders.

Responsibilities

  • Provide day-to-day support to the Managing Director and COO.
  • Manage complex calendars and coordinate meetings.
  • Prepare and record Board meeting minutes.
  • Support day-to-day office operations and ad hoc projects.
  • Coordinate office requirements, suppliers, facilities and admin.
  • Handle financial administration including reconciliations and expenses.
  • Collaborate with Operations Manager on tasks.
  • Provide broader admin support to the team.
  • Assist the Marketing & BD team when required.

Job description

Our client is a leading specialist national law firm with offices across Australia, recognised for its strong expertise in insurance, health, commercial litigation and corporate & commercial law. With a collaborative and down-to-earth culture and a growing national presence, the firm is looking for an experienced all-rounder to provide high-level support to the COO and Managing Director.

The Opportunity

This is a varied role that will combine executive, Board and administrative support, with the opportunity to work closely with senior leadership and contribute to the broader operations of the firm.

Key responsibilities include:

  • Providing day-to-day support to the Managing Director and COO.
  • Managing complex calendars and coordinating meetings.
  • Preparing and accurately recording minutes for Board meetings.
  • Supporting the day-to-day operations of the office and assisting with ad hoc operational projects.
  • Coordinating office requirements, suppliers, facilities and general administration as required.
  • Financial administration including reconciliations and expenses.
  • Working alongside the Operations Manager on ad hoc office and operational tasks.
  • Providing broader administrative support to the team as required.
  • Assisting the Marketing & BD team when required.
What We Are Looking For

We're looking for someone who is organised, proactive and comfortable working with senior stakeholders. You will ideally be:

  • An experienced administrator or EA who is comfortable supporting senior leadership.
  • High level of discretion and confidentiality, with the ability to work with sensitive information.
  • A proactive, organised and practical "all-rounder" who is happy to get involved across different areas of the business.
  • Legal experience is advantageous.
  • Prior experience in finance administration, reconciliations or expenses would be beneficial.
