Job summary

South Ave, an Australian RTD brand, seeks an Operations Coordinator to manage end-to-end product flow from producers to national 3PL warehouses and customers. You will coordinate orders, stock across four national 3PLs, and support excise/compliance processes to keep operations compliant and stock moving.

You will work with the Operations Manager on demand forecasting, production planning, POs with producers, and reporting for the sales team.

Qualifications

• Experience in operations or supply chain, preferably FMCG/beverage.

Responsibilities

• Key and process orders in inventory system and despatch from the correct 3PL warehouse.
• Coordinate delivery slots, stock availability, ETAs and overdue orders with wholesalers.
• Manage stock levels across four national 3PL warehouses and inter-warehouse transfers.
• Reconcile stock on hand between Unleashed and 3PL systems, investigate discrepancies.
• Support excise despatch processes and EPA/SA & NT reporting deadlines.
• Assist with demand forecasting and the production plan to meet stock needs.
• Raise production POs with contractors considering lead times and MOQs.
• Support new-product development from concept to first order and setup barcodes/GS1.
• Produce sales reports by SKU, state and manager, and help with dashboards.
• Maintain master data for products, suppliers and pricing.
• Document and improve operational processes and ensure cross-team collaboration.

Job description

South Ave is a fast-growing Australian RTD (ready-to-drink) alcohol brand - hard seltzers and zero-sugar vodka sodas in 375ml and 300ml cans and 50L kegs. Our product is made by contract producers, held across four national 3PL warehouses and sold into major liquor wholesalers, retail groups and on-premise and event customers around the country.

PURPOSE OF THE ROLE

The Operations Coordinator keeps the operational engine of the business running day to day: the end-to-end flow of product from producer to third-party warehouses to customers. Working closely with the Operations Manager, the role coordinates order fulfilment, national stock and 3PL administration, excise/compliance processes and operational reporting, and supports demand and production planning. It is a broad, hands-on role that helps keep stock available, orders moving and the business compliant, while maintaining day-to-day contact with producers, logistics partners and wholesalers.

CORE RESPONSIBILITIES

• Accurately key and process all wholesaler and customer orders in the inventory system (Unleashed) and despatch from the correct 3PL warehouse.
• Coordinate delivery time-slots, short-supply and out-of-stock communications, ETAs and overdue-order follow-ups with wholesaler stock controllers.

Stock & 3PL management

• Coordinate stock levels and movements across four national 3PL warehouses, including inter-warehouse transfers, damaged/short-life stock and pallet management.
• Reconcile stock-on-hand weekly between the source-of-truth system (Unleashed) and the 3PLs’ warehouse system (Carton Cloud); investigate and resolve discrepancies.
• Support the alcohol-excise despatch process - obtain delivery authorities (ATDs) and complete LAL (litres of alcohol) checks before stock release.
• Coordinate compliant stock disposal and excise reclaim, and prepare monthly container-deposit / EPA reporting (SA & NT) by the required deadline.

Forecasting & production support

• Support demand forecasting and the production plan - help compare sales run-rate, growth and known events against stock-on-hand to inform what to produce, how much and when.
• Raise and track production purchase orders with contract producers, accounting for lead times, minimum order quantities and volume-based pricing, to help keep stock available without over-producing.
• Support new-product development (production scheduling, packaging, barcodes/GS1) from concept to first order.
• Produce sales reports for the national sales team - by SKU, customer, state and sales manager - and support the company dashboard.
• Maintain master data: product/article and barcode setup, new supplier applications, and customer/pricing configuration.
• Document and maintain operational processes so key knowledge is captured and not single-person dependent.
• Maintain day-to-day producer, 3PL and wholesaler contact and support operations in cross-department planning.

What success looks like (KPIs)

• Best-selling SKUs stay in stock; stock-outs on core lines are rare and short.
• Orders are keyed and despatched accurately and on time; overdue/unfulfilled POs are minimal.
• Stock-on-hand reconciles cleanly between Unleashed and the 3PLs each week.
• All excise and EPA/compliance obligations are met on time
• Production runs are timed and sized to demand - good availability without excess stock or tied‑up cash/excise.
• Sales and operational reporting is accurate, consistent and on schedule.

SKILLS & EXPERIENCE

• Some operations, supply-chain, inventory, logistics or customer-service experience, ideally in FMCG, beverage, food or a regulated goods industry.
• Confident with inventory/ERP systems (Unleashed or similar) and accurate order and data entry.
• Solid Excel skills - comfortable working with and maintaining forecasting and reporting spreadsheets.
• Exposure to, or a keen interest in, demand forecasting and production/purchasing planning.
• Comfortable coordinating with third‑party warehouses/3PLs, suppliers and customers.
• Highly organised, deadline-driven, and able to juggle many concurrent, fast-moving tasks with strong attention to detail.
• Understanding of Australian alcohol excise (ATDs, LALs) and container‑deposit/EPA reporting.
• Experience with liquor wholesalers/retailers (e.g. ALM/Metcash, Endeavour, independents) and 3PL/WMS systems (e.g. Carton Cloud).
• Exposure to new-product development and barcode/GS1 setup.
• Experience supporting a busy operations or supply-chain team.
