Adapt Limited in Sydney is seeking an experienced Events Coordinator to plan and deliver our client events across Australia and New Zealand. You will lead venue sourcing, logistics and onsite delivery to ensure a seamless, high-quality experience for clients, partners, analysts and colleagues.

This role emphasizes cross-team collaboration, attention to detail and the ability to manage multiple events, budgets and timelines.

Aufgaben

• Source and secure venues for roundtables and events, managing contracts and approvals.
• Coordinate catering, dietary requirements, AV, signage, room setup, final numbers and event orders.
• Create and maintain run sheets, keeping deliverables on track against deadlines.
• Support coordination between Event Operations, Client Success, Sales, Analysts and Marketing.
• Build and maintain relationships with suppliers, venues, printers, caterers and AV providers.
• Negotiate pricing with venues and suppliers, manage supplier contracts and invoices to Accounts Payable.
• Book and coordinate flights and accommodation for analysts, speakers and internal teams across Sydney, interstate and NZ events.
• Independently lead onsite event delivery across Sydney, interstate and NZ from bump-in to bump-out.
• Manage event stationery, signage, name badges, promotional materials, packing and inventory.
• Keep workflows, budgets, approvals and reporting accurate across our event systems and seek process improvements.
