Job summary

BGIS is seeking a Reporting & Compliance Manager to support a high-profile facility in Melbourne’s north. This role is full-time and on-site, reporting to the Account Manager, focusing on contract performance, compliance records, and clear client communications.

You’ll work closely with stakeholders at all levels, acting as the contract’s organised hub to enable engineers and managers to focus on core work. A collaborative, proactive teammate is preferred.

Qualifications

• Background in reporting and compliance, ideally within facilities management or outsourced services.
• Experience in contract administration and database management.
• Experience developing and reporting on complex KPIs, and interpreting property, facilities and financial information.
• Experience with CMMS platforms.
• Sound knowledge of building services and related legislation and standards.
• Sound budgeting, forecasting and financial monitoring skills.
• Excellent written and verbal communication skills, with confidence engaging clients at all levels.
• A diligent, organised and methodical approach, with the ability to prioritise work to tight deadlines.
• Proficiency in Word, Excel and PowerPoint.
• Tertiary qualifications in Property, Commerce, Business or a related discipline.

Responsibilities

• Monitor subcontractor performance and contract KPIs through the CMMS.
• Prepare monthly, quarterly and annual performance reports per KPI regime.
• Report weekly on maintenance status, aged jobs and work in progress.
• Check CMMS data accuracy including asset registers and maintenance history.
• Collate and report on subcontractor compliance (HSEQ plans, insurances, inductions).
• Manage contractor/vendor databases and the specialist third-party contract file.
• Communicate warranty, defect liability and compliance issues to the team.
• Support tendering, tender reviews and subcontractor maintenance plans.
• Prepare account statements and invoicing for approval and Budget development.
• Take minutes at client and contractor meetings and support equipment testing events.
• Build strong relationships with client, subcontractors and BGIS team.
