We are seeking a dedicated and organised Office Manager/Accounts Administrator to join our team on a full-time or school hours basis in Warrnambool VIC 3280. This is a pivotal position that will be central to the smooth operation of our office and financial management. You will be responsible for managing day-to-day administrative functions, overseeing accounts and bookkeeping, coordinating with field staff, and ensuring our office operates efficiently. This role is integral to supporting both our management team and customers, and you will have a direct impact on the success of our business operations.
Manage all general office administration including correspondence, filing and record-keeping
Oversee accounts payable and receivable, processing invoices and maintaining accurate financial records
Perform bookkeeping duties including data entry, bank reconciliations and financial reporting
Prepare and process payroll in accordance with relevant legislation and company procedures
Coordinate communication between office staff and field-based technicians
Manage customer enquiries with professionalism and efficiency
Maintain and update client databases and job management systems
Prepare quotes and work orders for customer jobs
Assist with invoicing and follow-up on outstanding payments
Support the management team with administrative requirements and reporting
Ensure compliance with relevant legislation and company policies
Proven experience in office management or a similar administrative role, ideally within a service-based industry
Strong proficiency in bookkeeping and accounts administration, with knowledge of accounting software
Competence with Microsoft Office and familiarity with job management or customer relationship management (CRM) systems
Excellent organisational skills with the ability to manage multiple priorities and meet deadlines
Strong communication skills, both written and verbal, with the ability to interact professionally with staff and customers
Attention to detail and accuracy, particularly when handling financial information
