About the Business The Royal Hotel is an established hospitality venue located at Taree NSW 2430.
Operating within the hospitality and hotel sector, the business requires effective coordination of its administrative, personnel, financial-record, supplier and general office functions to support the efficient day-to-day operation of the venue. The operation of a hospitality business involves ongoing coordination between management, employees, customers, suppliers, contractors, service providers and external professionals. This creates substantial administrative requirements relating to staff records, payroll information, accounts documentation, purchasing and supplier records, correspondence, workplace documentation, scheduling and general business administration.
To support these operations and ensure that its administrative functions, personnel records, office resources and internal processes are effectively organised and controlled, The Royal Hotel is seeking to appoint a dedicated full-time Office Manager.
About the Role The Office Manager will be responsible for organising and controlling the administrative functions and resources of the office and supporting the efficient operation of
The Royal Hotel. The position will oversee administrative systems, office personnel and resources, business records, accounts documentation, employee administration, office equipment and general office operations. The Office Manager will also coordinate administrative requirements between management, employees, suppliers, contractors, customers and external professional service providers.
The role requires a highly organised and responsible individual capable of managing competing administrative priorities within a busy hospitality environment while ensuring office operations are maintained efficiently and in accordance with company policies and applicable regulatory requirements. Key Responsibilities The Office Manager will be responsible for:
- Contributing to the planning and review of office services, establishing administrative priorities and maintaining appropriate office service standards to support the efficient operation of the hotel.
- Allocating administrative resources, office space and equipment and ensuring resources are appropriately available to support management and operational personnel.
- Assigning work to administrative staff and monitoring work performance, providing direction, guidance and supervision where required.
- Managing office records and accounts documentation, including invoices, purchase documentation, correspondence, employee records, payroll information, supplier records, contractor documentation and other administrative information.
- Coordinating administrative documentation associated with the hotel's day-to-day hospitality operations, purchasing, suppliers, contractors and service providers.
- Liaising with professionals and external stakeholders, including accountants, bookkeepers, suppliers, contractors, consultants and service providers, to coordinate office business and facilitate the resolution of administrative matters.
- Facilitating communication and administrative coordination between management, administrative personnel and operational staff.
- Maintaining systems for tracking business correspondence, invoices, quotations, purchase documentation, supplier information, contracts and other operational records.
- Ensuring office equipment, administrative systems and supplies are maintained, serviced and replenished as required.
- Ensuring office activities and administrative processes comply with applicable Work Health and Safety requirements, company policies, procedures and relevant regulatory obligations.

- Coordinating personnel administration, including recruitment support, employee onboarding, payroll documentation, leave and attendance records, staff training coordination and maintenance of employee files.
- Maintaining accurate staff rosters, attendance information and employment-related documentation and ensuring relevant information is provided to management and payroll personnel as required.
- Maintaining organised electronic and physical filing systems and ensuring confidential business, financial and employee information is appropriately maintained and secured.
- Preparing reports, correspondence, spreadsheets, meeting documentation and other administrative materials for management.
- Coordinating meetings, appointments and administrative schedules and assisting with internal communication across different areas of the business.
- Monitoring administrative procedures and implementing improvements to office systems, document control, record keeping, workflow and administrative efficiency.
- Supporting management with the administrative coordination of the hotel's operations and ensuring relevant documentation and information is available to appropriate personnel.
- Coordinating and maintaining supplier and contractor records, including invoices, quotations, service documentation and business correspondence.
- Assisting with the administrative processing and record keeping associated with purchasing, accounts, payroll and operational expenditure.
- Maintaining effective communication with customers, suppliers, contractors, service providers and other stakeholders regarding administrative and general business matters.
Qualifications and Experience Applicants should possess:
- An AQF Associate Degree, Advanced Diploma or Diploma in Business Administration, Office Management, Management or a related discipline; or
- At least three years of relevant experience may substitute for the formal qualification where applicable.
Applicants should also demonstrate:
- Relevant office management or senior administrative experience, preferably within hospitality, hotels, accommodation, food and beverage, retail or another customer-focused business environment.
- Strong organisational, leadership and time-management skills.
- Ability to supervise administrative personnel and coordinate office activities across multiple operational functions.
- Experience maintaining business, supplier, contractor, employee, payroll and accounts-related records.
- Ability to coordinate administrative requirements between management, office personnel and operational staff.
- Strong written and verbal communication skills.
- Competency in Microsoft Office and general business administration and record-management systems.
- Understanding of workplace health and safety and general compliance requirements.
- Strong attention to detail and the ability to maintain accurate and confidential business and employee records.
- Ability to work independently, manage competing priorities and operate effectively within a busy hospitality environment.
