Job description

THE DANDELION COLLECTIVE LTD – Newcastle NSW

Accounts Payable & Receivable | Part-Time

15–20 hours per week across 2–3 days

Remote working with attendance at our Newcastle office when required

Use your accounts experience to make a meaningful contribution to disability support.

The Dandelion Collective is a growing registered charity providing disability support services. We are seeking an organised and detail-oriented NDIS Billing & Accounts Officer to join our team.

This hands‑on role brings together NDIS billing and claiming, accounts payable and accounts receivable. Through accurate billing, timely payments, and responsible financial administration, you will help us direct resources towards quality services and positive outcomes for the people we support.

You will contribute to our mission and values through your everyday work—treating people respectfully, taking responsibility and handling financial information with care and integrity.

About the role

Reporting to the Chief Financial Officer (CFO), you will work closely with our business support and operational teams to manage day‑to‑day financial administration across our disability support services.

Your responsibilities will include:

  • NDIS billing and claiming: Prepare, submit and reconcile claims and invoices, including agency-managed, plan-managed, and self-managed billing.
  • Billing accuracy: Check service records, approved rosters, rates, and supporting information before processing claims.
  • Claim follow‑up: Investigate rejected, disputed or unpaid claims and coordinate corrections.
  • Accounts payable: Process and code supplier invoices, obtain approvals, reconcile supplier statements, and prepare payment runs for authorisation.
  • Accounts receivable: Allocate payments, maintain debtor records, and follow up overdue accounts with plan managers and other payers.
  • Accounts enquiries: Act as the primary point of contact for accounts‑related enquiries from suppliers, contractors, plan managers, and other relevant stakeholders, responding promptly and following matters through to resolution.
  • Reconciliations: Complete bank, card, and account reconciliations and follow up missing receipts or supporting documents.
  • Financial administration: Maintain accurate records and assist with month‑end processes, reporting, and audit preparation.
  • Continuous improvement: Follow up outstanding approvals and financial information and help improve systems and processes to support efficient use of the charity’s resources.
About you

You enjoy working with numbers, take pride in getting the details right and follow tasks through to completion. You understand that reliable financial administration helps our teams deliver consistent, quality support.

We welcome applications from experienced accounts professionals who connect with our purpose and bring a respectful, accountable approach to their work.

You will bring:
  • Previous experience in accounts payable, accounts receivable or a similar accounts role.
  • Experience processing invoices, allocating payments and completing reconciliations.
  • Strong organisational skills, accuracy and attention to detail.
  • Confidence using accounting systems, Microsoft Excel and other Microsoft Office applications.
  • The ability to manage competing deadlines, investigate discrepancies and resolve issues.
  • Clear, professional communication skills and the ability to build positive working relationships.
  • A commitment to confidentiality and careful handling of financial and participant information.
  • The ability to work independently, including remotely, and collaboratively with the team.
  • Availability to attend our Newcastle West office when required.
  • A commitment to supporting The Dandelion Collective’s mission and values.
We would also value:
  • Experience with NDIS billing, claiming, and payment reconciliation.
  • Knowledge of NDIS pricing arrangements and claiming requirements.
  • Experience using Xero, Hubdoc, Dext, Budgetly or Flow Logic.
  • Experience in disability, community services, healthcare, or the charity sector.
  • Relevant qualifications in accounting, bookkeeping, or business administration.
  • Experience supporting month‑end reporting, audits, or financial compliance.
What we offer
  • Flexible working arrangements: Part‑time employment of 15–20 hours per week across 2–3 days, with the ability to work remotely and attend our Newcastle West office when required. Working days and hours will be agreed with the successful applicant.
  • Meaningful work: Contribute your skills to a registered charity supporting people with disability.
  • A supportive team: Work alongside colleagues who care about the people we support and the quality of our services.
  • An opportunity to contribute: Share ideas and help improve financial processes as the organisation grows.
  • Ongoing professional development.
