Job summary

Magnum Ice Cream Company is seeking an experienced administrator to provide essential support to the National Field and Distributor Team across Australia. The role involves coordinating TOT vehicle movements, asset transfers, and maintaining accurate records, with a focus on efficient operations and timely communication.

You will work in a hybrid role across Sydney CBD and Minto NSW, handling inquiries, onboarding vendors, and supporting multiple teams.

Qualifications

• Min 2 years’ experience in administration, sales support, or fleet/operational coordination.
• Proficient with Microsoft Office (Excel, Word, PowerPoint) and accurate record keeping.
• Strong communication, organization and problem-solving abilities.
• Ability to manage multiple priorities in a fast-paced environment.

Responsibilities

• Provide day-to-day admin support to the National Field and distributor team.
• Coordinate TOT vehicle administration, movements, maintenance, invoicing and fleet communications.
• Support ANZ asset movement management with transfers, movements and tracking.
• Maintain accurate records across internal systems (BIG X, GPSI, Kingloc).
• Manage new customer leads and enquiries; route to sales reps.
• Provide admin support to distributor network with updates and coordination.
• Process expenses and invoices through DCIW; coordinate payments.
• Set up vendors through IC NOW and distribute fortnightly statements.
• Support Field team with orders and maintaining customer data.
• Collaborate with internal teams and external partners to resolve issues promptly.
