United Cardiology in Chatswood/Eastwood is seeking an experienced Medical Receptionist to join our team on a full-time basis. You will be the welcoming first point of contact, handling patient enquiries, bookings and general administration with professionalism and compassion.

You will use practice management software, manage confidential patient records and coordinate with doctors and staff to ensure smooth clinic operations and patient care.

Qualifications

  • Experience in a healthcare reception or similar role.
  • Proficient use of practice management software and MS Office.
  • Ability to manage confidential patient information with discretion.

Responsibilities

  • Welcome patients and manage the reception desk in a friendly, professional manner.
  • Schedule, confirm and manage patient appointments using practice management software.
  • Respond to patient enquiries and direct them to the appropriate medical staff or department.
  • Process patient registrations and maintain accurate patient records.
  • Answer calls, take messages and ensure timely communication with patients and providers.
  • Process patient payments and handle billing enquiries with discretion.
  • Coordinate with doctors and staff to support clinic operations and patient flow.
  • Maintain patient confidentiality and comply with health privacy legislation.
  • Perform general administrative duties including data entry and document management.
  • Assist with patient education materials and provide information about services.

Job description

United Cardiology is seeking an experienced Medical Receptionist to join our team at our Chatswood/Eastwood practice on a full-time basis.

As the first point of contact for our patients, you will play an important role in creating a welcoming and professional experience while supporting the efficient day-to-day operation of the practice. You will manage patient enquiries, appointments, administrative processes and reception duties, while demonstrating professionalism, compassion and a strong commitment to patient care.

Key responsibilities
  • Welcome patients upon arrival and manage the reception desk in a friendly, professional and organised manner.
  • Schedule, confirm and manage patient appointments using practice management software.
  • Respond to patient enquiries and direct them to the appropriate medical staff or department.
  • Process patient registrations and maintain accurate patient records and documentation.
  • Answer telephone calls, take messages and ensure timely communication with patients and healthcare providers.
  • Process patient payments, manage invoices and respond to billing enquiries with discretion.
  • Coordinate with doctors and medical staff to support efficient clinic operations and patient flow.
  • Maintain patient confidentiality and comply with relevant health privacy legislation and practice policies.
  • Perform general administrative duties, including filing, data entry and document management.
  • Assist with patient education materials and provide information about the services offered by the practice.
  • Provide support at other clinic locations from time to time, where required.
What we're looking for
  • Previous experience as a Medical Receptionist or in a healthcare reception or administration role.
  • Excellent interpersonal and communication skills, with the ability to interact professionally with patients, doctors and colleagues.
  • Proficiency in practice management software and Microsoft Office applications.
  • Strong organisational skills and the ability to prioritise and manage multiple tasks in a busy environment.
  • A high level of discretion and the ability to manage sensitive patient information confidentially.
  • A commitment to delivering excellent customer service and supporting patient comfort and satisfaction.
  • An understanding of medical terminology and basic healthcare practices.
  • A flexible and cooperative approach, with a willingness to support the wider team during busy periods.
  • Availability to travel between clinics occasionally, as required.
