Responsibilities

• Coordinate domestic and international freight movements.
• Review site dates and project priorities to determine transport.
• Select transport modes balancing cost, time, cargo type and risk.
• Negotiate freight quotations for pricing and terms.
• Coordinate freight forwarders, customs brokers and internal stakeholders.
• Prepare and maintain shipment schedules and tracking reports.
• Monitor shipments and provide timely milestone updates.
• Identify delays or risks and coordinate recovery actions.

Job Objective

To coordinate the efficient, safe and cost-effective movement of goods across domestic and international supply chains, ensuring materials are collected, transported and delivered in accordance with business, project and customer requirements. The Logistics Coordinator is responsible for managing freight providers, shipment documentation, customs and regulatory requirements, delivery schedules and stakeholder communication while identifying opportunities to improve service, reduce costs and minimise supply chain risk.

Duties and Responsibilities

• Coordinate domestic and international freight movements from supplier collection through to final delivery.


• Review Required on Site dates, supplier ready dates and project priorities to determine appropriate transport requirements.


• Select the most suitable transport mode in consideration of cost, delivery time, cargo type and operational risk.


• Obtain, review and negotiate freight quotations to ensure pricing is competitive and commercially appropriate.


• Coordinate freight forwarders, transport providers, customs brokers, suppliers, warehouses and internal stakeholders.


• Prepare and maintain shipment schedules, registers and tracking reports


• Monitor shipments and provide timely updates on collection, departure, arrival, clearance and delivery milestones.


• Proactively identify delays, disruptions and risks and coordinate appropriate recovery actions.


• Ensure purchase orders and shipping instructions contain accurate collection, delivery and cargo information.


• Verify freight documentation, including commercial invoices, packing lists, bills of lading, air waybills, certificates of origin and import permits.


• Coordinate customs clearance, quarantine and biosecurity requirements for international shipments.


• Review freight invoices against quotations, agreed rates and completed services before approval.


• Maintain agreed freight rates and support regular market benchmarking and supplier performance reviews.


• Assist with freight budgets, forecasts, accruals, cost allocations and reporting.


• Maintain accurate logistics records and documentation within Pronto and other business systems.


• Support continuous improvement initiatives that reduce freight costs, lead times, manual administration and operational risk.


• Develop and monitor logistics performance measures, including on-time delivery, freight costs and service-provider performance.


• Follow company health, safety, environmental and quality requirements and promptly report hazards, incidents and non-conformances.


• Perform other reasonable logistics and supply-chain duties as directed by the Supply Chain Manager.

Qualifications, Experience, Knowledge, Skills, and Abilities
