Junior Project and Maintenance Coordinator

SAPP International is a leading global retail display and fixture manufacturer with design and sales offices in Australia, Hong Kong, China, Europe, and the US. We deliver innovative point of sale, merchandising, and fixture solutions for some of the world's most recognised retail brands, from concept through to nationwide rollout.

The Opportunity

We're looking for a Junior Project and Maintenance Coordinator to join our Sydney team. Your main focus will be one of our key retail clients, coordinating their project rollouts and ongoing maintenance program alongside facilities management (FM) teams, installers, and technicians. You'll also support the wider team with coordination on other client projects. This is a hands on role for someone who thrives in a fast paced environment, is meticulous with detail, and can confidently manage multiple priorities at once. You'll keep every job moving from setup through to delivery, making sure installers, stores, and suppliers are all on the same page.

Ideally you'll have some FM or maintenance coordination experience. We'd also welcome candidates with experience in the retail display, fixture, or shopfitting industry, or those with an Industrial Design background who understand product development and manufacturing processes.

The Role

Your responsibilities will include:

Projects and rollouts

• Coordinating projects from setup through to delivery, working closely with internal teams, our overseas factory, and external suppliers
• Keeping project schedules and trackers up to date on Monday.com, and following up to make sure deadlines are met across multiple concurrent projects
• Acting as a first point of contact for the client and store staff, handling calls and emails, providing updates, and resolving day to day issues
• Liaising with installers, tradespeople, and logistics providers to coordinate rollouts nationally
• Maintaining accurate project documentation including trackers, schedules, costings, and status reports
• Coordinating freight, deliveries, and logistics across domestic and international supply chains
• Assisting with quoting, procurement, and supplier follow up as required
• Occasional site visits to check installations and help resolve on the ground issues
• Supporting the wider team with coordination on other client projects as needed
• Occasional light warehouse tasks such as checking stock or preparing samples (not a core part of the role)

Maintenance program

• Coordinating the client's planned and reactive maintenance program: keeping the maintenance calendar on track, logging and prioritising service requests, and following every job through to completion and close out
• Acting as the day to day contact for the client's FM team, confirming requirements and keeping them informed as jobs progress
• Scheduling, briefing, and dispatching technicians and contractors, confirming site access, and following up attendance, completion photos, and sign off
• Tracking response and completion times against SLAs, escalating anything at risk, and reporting to the client on open jobs, costs, and recurring issues
• Recording faults, defects, and repeat issues, and coordinating return visits and rectification works
• Checking technician and contractor invoices against approved quotes and purchase orders

What We're Looking For

• 1 to 2 years' experience in project coordination, administration, facilities management, retail display/fixture rollouts, shopfitting, or a related manufacturing/production environment
• Alternatively, an Industrial Design or Product Design qualification with an understanding of manufacturing and production processes
• Strong organisational skills with high attention to detail and a methodical approach to documentation
• Proven ability to manage competing priorities, context switch between tasks, and stay composed under pressure
• A professional, confident communicator comfortable speaking with clients, FM teams, technicians, trades, and factory contacts
• Resilient and level headed, able to handle the demands of a fast paced production environment without taking things personally
• Proficient in Microsoft Office, particularly Excel
• Advanced Excel skills including pivot tables for data analysis and project tracking is highly regarded
• Comfortable with occasional light lifting up to 10kg and hands-on warehouse tasks
• Must hold a valid driver's licence with access to a vehicle for site visits
• Must be an Australian Citizen or Permanent Resident
• Willingness to occasionally work outside standard business hours to coordinate with our manufacturing partner in China (2 to 3 hours behind).
• This is infrequent and the salary is inclusive of reasonable additional hours in accordance with Australian employment law.

Highly Regarded

• Experience coordinating planned and reactive maintenance, using FM work order systems and working to SLAs
• Experience with Monday.com, Asana, or similar tools
• Exposure to retail environments and an understanding of how displays and fixtures are deployed in store
• Experience reading or interpreting technical/engineering drawings
• Proficiency in Mandarin and/or Cantonese (a strong advantage for communication with our Dongguan factory)
