Job summary

MINDBODY Australia is seeking an Implementation Project Coordinator to support customer onboarding and ensure smooth project delivery. You will work closely with the Project Manager and Sales, guiding customers through their implementation journey with clear, timely communication.

You will help maintain detailed project plans, track milestones and risks, and collaborate with internal teams to create a connected customer experience.

About the Right TeamMember

As part of our Implementation Team, the Implementation Project Coordinator helps keepcustomer onboarding projects organised, on track and moving forward. This is a hands-on,detail-driven role in which you’ll work directly with customers throughout their implementation,coordinate the administration behind each project and ensure that actions and importantdetails don’t slip through thecracks.

Day to day, you’ll set up and maintain project plans and documentation, clarify timelines andnext steps, follow up on outstanding actions and help keep go-live activities on schedule. You’llpartner closely with the Project Manager, escalating risks, dependencies and proposedchanges so they can be assessed and resolved before they affect project delivery. You’ll alsocollaborate with Sales, Customer Success and other internal teams to create a connectedcustomer journey.

You’ll thrive in this role if you’re exceptionally organised, take pride in accuracy, communicateclearly and warmly, and naturally think a step ahead. You’ll be comfortable raising risks early,asking questions when something is unclear and taking ownership of follow-through. About the Role

• Coordinate day-to-day implementation activities, ensuring responsibilities, deadlinesand next steps are clear to customers and internal stakeholders.
• Partner with the Project Manager to maintain project plans and documentation,communicate progress, and elevate risks, dependencies, delays and proposed scopeor timeline changes for resolution.
• Guide customers through their implementation journey by providing clear, timely andprofessional communication about requirements, milestones and timelines.
• Set up and maintain detailed project plans, including key milestones, dependencies,action items and targetdates.
• Monitor project progress and follow up proactively with customers and internalstakeholders on outstanding actions or information.
• Maintain accurate project records, including decisions, meeting notes, action items,status updates and other relevant documentation.
• Support the Project Manager in tracking changes to project scope and timelines,communicating potential impacts and escalating decisions asneeded.
• Identify and document project risks and issues early, supporting the Project Managerand relevant stakeholders with timely resolution.
• Use project management and collaboration tools to track performance, maintainvisibility and report on key milestones.
• Work closely with Sales, Customer Success and other internal teams to supportsmooth transitions throughout the customer journey.
• Develop a strong understanding of Mindbody products, implementation processes andproject management best practices.
• Contribute to improvements in implementation processes, tools and customerexperiences by sharing observations and ideas with theteam.

• Previous experience using project management or collaboration tools is beneficial butnot essential.
• Experience in customer service, administration, coordination, onboarding or a similarenvironment would be beneficial.
• A strong interest in developing a career in project management and customerimplementation.
