Job summary

Design & Build Recruitment is seeking a Contract Administrator to join an established HVAC contractor delivering major mechanical services projects across Melbourne. You will support commercial and contractual activities across HVAC and data-centre sectors.

The role offers exposure to subcontractor management, variations, and cost tracking, with a clear pathway to senior CA, contracts manager, or project management roles.

Qualifications

• Experience as a Contract Administrator within construction, HVAC, or building services.
• Experience with contractor, subcontractor or specialist services provider.
• Understanding of construction contracts, subcontractor management and commercial processes.
• Experience with variations, progress claims, procurement and cost tracking.
• Ability to read and understand construction drawings, scopes and specifications.
• Strong attention to detail and organisational skills.
• Excellent written and verbal communication skills.
• Ability to build relationships with project teams, subcontractors and clients.
• Strong commercial awareness and proactive problem solving.

Responsibilities

• Provide commercial and contractual support across HVAC and mechanical services projects.
• Assist with administration of subcontractor and supplier agreements.
• Prepare, issue and manage subcontractor documentation and correspondence.
• Assist with progress claims, payment schedules and variations.
• Monitor project costs, commitments and expenditure.
• Assist with the preparation and assessment of variations and extension of time claims.
• Review contracts, scopes, drawings and project documentation.
• Assist Project Managers with procurement and subcontractor negotiations.
• Maintain accurate commercial and project records.
• Assist with monthly reporting, forecasting and cost tracking.
• Liaise with subcontractors, suppliers, consultants and clients to resolve commercial matters.
• Assist with project close-out, final accounts and documentation.
• Identify potential commercial and contractual risks and elevate where appropriate.
