Job summary

Victor Chang Cardiac Research Institute is seeking an Operations Coordinator for the Heart Health Check program in Sydney. You will manage bookings, data, equipment logistics and stakeholder communication, ensuring testing days run smoothly, with occasional on-site support as needed.

Qualifications

• At least three years' experience in administration, coordination or a similar role.
• Highly organised and able to manage multiple priorities with limited supervision.
• Excellent attention to detail and accuracy across data entry, reporting and record-keeping.
• Strong customer service skills and ability to communicate warmly and professionally with a variety of stakeholders.
• Comfortable learning new technology and using Microsoft Outlook, Word and Excel.
• Hold a current unrestricted NSW driver's licence and are comfortable driving the program vehicle when required.
• Interested in community health and willing to complete training and occasionally support regional, interstate or on-site testing activities.

Responsibilities

• Managing the program's booking calendar, including cancellations, rescheduling and updates for clients and partners.
• Coordinating testing-day arrangements with external partners and ensuring everyone has clear and timely information.
• Maintaining accurate booking, participant and program data across approved systems and spreadsheets.
• Compiling program data and coordinating the delivery of client reports.
• Managing stocktakes, equipment preparation, dispatch, collection, returns and readiness for testing days.
• Researching prospective clients and community partners and maintaining accurate records of potential opportunities.
• Supporting outreach, introductory meetings, site visits, proposals and follow-up communication.
• Providing broad administrative and operational support to the Manager, Heart Health Check.
