Job summary

Victor Chang Cardiac Research Institute – Darlinghurst NSW is seeking an organised Operations Coordinator for the Heart Health Check program. This hybrid, desk-based role supports booking, data management, equipment logistics, stakeholder communications and admin for testing days across NSW and interstate.

You will be the day-to-day contact for clients and partners, ensure tests are well planned, and may assist on testing days.

Qualifications

• At least three years’ experience in administration, coordination or a similar role.
• Highly organised with the ability to manage multiple priorities with limited supervision.
• Excellent attention to detail and accuracy across data entry, reporting and record-keeping.
• Strong customer service skills and ability to communicate warmly and professionally with a variety of stakeholders.
• Comfortable learning new technology and using Microsoft Outlook, Word and Excel.
• Hold a current unrestricted NSW driver’s licence and are comfortable driving the program vehicle when required.
• Interested in community health and willing to complete training and occasionally support regional, interstate or on-site testing activities.

Responsibilities

• Managing the program’s booking calendar, including cancellations, rescheduling and updates for clients and partners.
• Coordinating testing-day arrangements with external partners and ensuring everyone has clear and timely information.
• Maintaining accurate booking, participant and program data across approved systems and spreadsheets.
• Compiling program data and coordinating the delivery of client reports.
• Managing stocktakes, equipment preparation, dispatch, collection, returns and readiness for testing days.
• Researching prospective clients and community partners and maintaining accurate records of potential opportunities.
• Supporting outreach, introductory meetings, site visits, proposals and follow-up communication.
• Providing broad administrative and operational support to the Manager, Heart Health Check, while helping resolve day-to-day issues proactively.

About you

You are an organised and proactive coordinator who enjoys keeping busy programs running smoothly. You take pride in getting the details right, communicating clearly and making sure clients, colleagues and partners have the information they need. Comfortable working independently, you can balance competing priorities, anticipate potential issues and adapt when plans change. You are also friendly and professional, with the confidence to build positive relationships across phone, email and face-to-face interactions.

The role

As our Operations Coordinator – Heart Health Check, you will provide the administrative, logistical and operational support that keeps our mobile Heart Health Check program moving across NSW and interstate. This is primarily a desk-based coordination role encompassing bookings, data management, equipment logistics, stakeholder communication and business development administration. You will be a key day-to-day contact for clients, participants and internal stakeholders, helping ensure every testing day is well planned and supported. Following training and a competency assessment, you may also occasionally assist at testing days when operationally required.
