Job summary

Stewart House is seeking a fundraising partnerships support coordinator to own donor data, support and follow-up across gifts, proposals and partnerships. You will work with the CEO and Partnerships and Marketing Manager, with your work visible to the Board's Fundraising Committee.

Qualifications

  • 1–3 years of experience in coordination or partnerships support.
  • Accurate data handling and record-keeping.
  • Proficient with databases, spreadsheets, and standard office software.
  • Excellent written and verbal communication with external supporters.
  • Ability to work autonomously and prioritize tasks.
  • Professional judgement and discretion with supporter information.
  • Experience in not-for-profit sector or with CRM systems (Salesforce) is valued.
  • Working with Children Check and National Police Check current.

Responsibilities

  • Assist prospect research and identify fundraising opportunities.
  • Support development of fundraising processes and templates.
  • Provide papers and follow‑up for the Board's Fundraising Committee.
  • Be the first contact for supporter inquiries and escalate as needed.

Job description

This newly created role is the operational backbone of fundraising at Stewart House. Reporting to the Partnerships and Marketing Manager and working directly with the CEO, you will own the data, support and follow-up that sits behind every gift, proposal and partnership. You will see your work land in front of our Board's Fundraising Committee, and in a team this size what you do is visible. This is an exciting role for someone who is highly organised, takes real care with detail, and wants to build a career in fundraising from a position where they can see the whole function. The role is a 12-month fixed term contract, offered as part of a pilot fundraising structure. The intention is to make it ongoing if the model is continued, and we will confirm the outcome at least six weeks before the term ends.

Key responsibilities
  • Maintain the donor database and the standards that keep it accurate
  • Record and track every donation through to receipting, working closely with Finance
  • Prepare proposals, briefs and stewardship reports and other fundraising material for the CEO and Partnerships and Marketing Manager as required
  • Maintain the partnership and donor pipeline ensuring opportunities, activity, next actions, outcomes and relevant supporting information are recorded and kept current
  • Coordinate agreed fundraising appeals, supporter communications and fundraising events, including support, logistics, communications, materials and follow up
  • Support donor and partner stewardship activities, including maintaining stewardship schedules, preparing correspondence and reports, coordinating acknowledgements, recording engagement activities
  • Support prospect research and the identification of potential fundraising and partnership opportunities and maintain relevant records
  • Support the development and implementation of fundraising and partnership processes and systems, including documenting procedures and maintaining templates, records and shared resources
  • Support the Board's Fundraising Committee with papers, data, support and follow-up
  • Act as a first point of contact for supporter enquiries, resolving what you can and escalating what you cannot
About you
  • One to three years' experience in a coordination or partnerships support role
  • Demonstrated accuracy and attention to detail in partnership data handling and record keeping
  • Confident use of databases, spreadsheets and standard office systems
  • Clear written and verbal communication, including with external supporters
  • The ability to work autonomously, prioritise and follow through without being chased
  • Professional judgement and discretion with supporter information
  • Experience in the not-for-profit sector, with CRM systems (particularly Salesforce), or supporting senior staff or a board committee is highly regarded
  • Current Working with Children Check and National Police Check
