Job summary

Business Nest is seeking a Fleet Operations Manager to oversee the company’s vehicle fleet and field operations in New South Wales. The role requires strong technical knowledge of maintenance, reliability, and accountability for fleet expenses, supplier coordination and safety.

The successful candidate will have 2–3 years in fleet operations and a background in vehicle maintenance management, with proven ability to coordinate workshops, track servicing and manage lifecycle costs.

Qualifications

• AQF Diploma or higher in Fleet Management, Transport Management, Logistics, Business Management, Automotive/Mechanical Technology or related discipline.
• 2–3 years of relevant experience in fleet operations and vehicle maintenance management.
• Experience coordinating maintenance, inspections and repairs to maintain fleet reliability.
• Knowledge of vehicle lifecycle management: acquisition, maintenance, replacement, disposal, registration, insurance and compliance.
• Experience managing vehicle maintenance costs and coordinating external workshops and suppliers.
• Experience maintaining fleet records and using fleet management systems.
• Strong organisational, analytical and problem-solving skills with ability to prioritise maintenance and respond to breakdowns.

Responsibilities

• Manage day-to-day operation, allocation and availability of the vehicle fleet to support projects.
• Plan and coordinate preventative maintenance, servicing, inspections and repairs to minimise downtime.
• Monitor vehicle condition, utilisation and performance and determine corrective actions.
• Coordinate vehicle acquisition, replacement and disposal based on requirements and lifecycle costs.
• Liaise with workshops, dealers, suppliers and insurers regarding maintenance and fleet requirements.

SUMMARY

This is a position of significant operational responsibility requiring strong technical knowledge of vehicle maintenance and fleet operations. The role requires a high degree of reliability, integrity and accountability due to responsibility for company vehicles, maintenance expenditure, supplier coordination, compliance and vehicle safety. Proven experience in a trusted supervisory or foreman-level position within a vehicle, mechanical or fleet environment will be highly regarded.

DUTIES

• Manage the day-to-day operation, allocation and availability of the company’s vehicle fleet to support construction projects and field operations.
• Plan and coordinate preventative maintenance, scheduled servicing, inspections and repairs, ensuring work is completed effectively to maintain vehicle reliability and minimise downtime.
• Monitor vehicle condition, maintenance history, utilisation and performance, identifying mechanical or operational issues and determining appropriate maintenance or repair requirements.

Key Responsibilities

• Manage and liaise with mechanical workshops, dealerships, parts and tyre suppliers, insurers and other fleet service providers regarding maintenance, repairs and fleet requirements.
• Oversee vehicle registrations, insurance, servicing and repair records, inspections, and applicable fleet safety and compliance requirements.
• Monitor expenditure on servicing, repairs, tyres, fuel and other fleet operating costs and implement measures to improve cost efficiency.
• Maintain fleet records and systems to monitor vehicle usage, kilometres, servicing schedules, maintenance requirements and vehicle allocation.
• Coordinate vehicle breakdowns, accident repairs and replacement vehicle arrangements to minimise disruption to construction and field operations.
• Liaise with management, project managers and supervisors to forecast vehicle requirements and provide recommendations on fleet maintenance, utilisation, performance and future replacement needs.

Skill & Experience

• AQF Diploma or higher qualification in Fleet Management, Transport Management, Logistics, Business Management, Automotive/Mechanical Technology or a related discipline, or equivalent relevant industry experience.
• 2-3 years of relevant experience in fleet operations, vehicle maintenance management, automotive operations, transport operations or a comparable fleet-focused role.
• Demonstrated experience coordinating vehicle maintenance, servicing, inspections and repairs to maintain fleet reliability and minimise operational downtime.
• Sound knowledge of vehicle lifecycle management, including acquisition, maintenance, replacement, disposal, registration, insurance and compliance requirements.
• Experience managing vehicle maintenance and operating costs and coordinating external workshops, dealerships, parts suppliers and other automotive service providers.
• Experience maintaining fleet records and using fleet management, vehicle monitoring or similar systems to track servicing, maintenance requirements, utilisation and vehicle performance.
• Strong organisational, analytical and problem-solving skills, with the ability to prioritise maintenance requirements and respond effectively to breakdowns and operational issues.
• Strong communication, negotiation and stakeholder-management skills, with the ability to work effectively with management, project teams, drivers and external suppliers.
