About the Role

We are seeking a professional, highly organised and proactive Front Office Coordinator/Receptionist to join our Corporate Head Office in North Sydney.

This is a key front-of-house role and an important part of creating a professional, welcoming and well-organised workplace. As the first point of contact for visitors, clients and employees you will play an important role in representing the business and ensuring the smooth day-to-day operation of the office.

The role will suit someone who takes pride in their work, enjoys being part of a professional team and is comfortable taking ownership of a broad range of responsibilities. You will have the opportunity to work closely with people across the business, develop your understanding of how a corporate organisation operates and progressively broaden your skills and experience.

Key Responsibilities
Reception & Front Office Management
  • Greet and welcome clients, visitors and contractors, ensuring all visitors are appropriately registered through the visitor management system and relevant employees are notified of their arrival.
  • Manage incoming telephone enquiries and direct calls appropriately, including providing overflow support to other office locations as required.
  • Maintain a professional, organised and welcoming reception environment.
  • Coordinate incoming and outgoing mail, couriers, deliveries and catering requests.
  • Represent the business professionally in all interactions with clients, visitors, suppliers and employees.
Office Coordination
  • Ensure staff kitchens, coffee machines, meeting rooms and common areas are maintained to a high standard, fully stocked and professionally presented.
  • Monitor stock levels for kitchen supplies, stationery and mailroom consumables and coordinate replenishment as required.
  • Submit and coordinate tenant service requests with building management.
  • Assist with office space planning, seating allocations and workplace coordination for project and business teams.
  • Support office security processes, including administration of access cards, visitor passes and security registers.
  • Coordinate seating arrangements and access requirements for employees, contractors, consultants, visitors and project teams.
  • Provide relief support for Facilities Officer responsibilities as required, including access card administration, locker allocations, office security, building maintenance coordination and other facilities-related activities.
Administration & Operational Support
  • Process purchase orders and invoices through the internal system.
  • Assist with video conferencing and meeting room technology, escalating technical issues to IT where required.
  • Provide general administrative and operational support across the office.
  • Assist with ad hoc projects and initiatives as required.
  • Identify opportunities to improve office processes, presentation and day-to-day operations.
  • Undertake additional responsibilities as required to support the broader needs of the business.
About You

You will be someone who enjoys working with people and takes pride in being the person others can rely on to get things done.

You will ideally bring 3–5 years' experience in office administration, front office, reception, customer service or a similar environment, together with a genuine interest in developing your career further.

  • Proficiency in Microsoft Office and administrative systems.
