Job summary

Laing O’Rourke is seeking an Executive or Personal Assistant to join our AUKUS team at Osborne, South Australia. You will support senior leaders with high-level administrative tasks and diary management, coordinate meetings, travel and events, and manage confidential information with discretion.

This role will be pivotal in supporting site-based project delivery for Australia’s defence infrastructure initiatives, delivering critical programs with a focus on accuracy and professionalism.

Qualifications

  • Proven experience as an Executive Assistant, Personal Assistant or Team Coordinator.
  • Experience supporting senior leaders with high-level admin tasks and diary management.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Experience coordinating meetings, travel and events.
  • Discretion handling confidential information.

Responsibilities

  • Monitor incoming telephone calls, mail and other material.
  • Review incoming correspondence and dispatch to appropriate personnel.
  • Perform nominated admin and secretarial duties for the senior manager.
  • Prepare monthly and quarterly corporate reports.
  • Arrange information for conferences, speeches and reports as requested by the senior manager.
  • Minute taking.
  • Maintain Employee Expense Claims.
  • Coordinate appointment times for the senior manager.
  • Receive and screen visitors and callers to ensure appropriate routing.
  • Organise travel and other business requirements for the executive.
  • Observe safe systems of work and report hazards.

Laing O’Rourke, with joint venture partner Amentum Australia,will play a central role in supporting Australian Naval Infrastructure (ANI) to develop and deliver the Nuclear-Powered Submarine Construction Yard (NPSCY) project at Osborne, South Australia. We will provide program and construction management services of nuclear related civil infrastructure, site‑wide nuclear licensee development expertise, and nuclear safety leadership.
We are currently seeking anExecutive or Personal Assistant to join our AUKUS team.

Key Responsibilities
  • Monitor incoming telephone calls, mail and other material
  • Review incoming correspondence, despatching material to appropriate personnel.
  • Perform nominated administrative and secretarial duties as required for effective operation of the senior manager
  • Prepare monthly and quarterly corporate reports in accordance with a specified schedule.
  • Obtain and organise information for use in conferences, speeches and reports as requested by the senior manager
  • Minute taking.
  • Maintain Employee Expense Claims.
  • Assist in data collation, formatting, updating and filing
  • Coordinate and allocate appointment times for the senior manager.
  • Receive and question visitors and callers to ensure they should not be referred elsewhere.
  • Operate and maintain confidential and personal files, ensuring they are secure at all times.
  • Organise and facilitate travel and other business requirements of the executive.
  • Delegate administrative and secretarial duties as required
  • Observe safe systems of work relevant to your work area and report potential hazards.
About you
  • Proven experience as an Executive Assistant, Personal Assistant or in a Team Coordinator role, ideally within construction, infrastructure, or project-based environments
  • Demonstrated experience supporting senior leaders/executives with high-level administrative and diary management tasks
  • Strong ability to manage multiple priorities in a fast-paced, deadline-driven environment
  • Experience coordinating meetings, travel, and events, including logistics and stakeholder management
  • Confident in acting as front of house, with a professional and approachable manner
  • Ability to handle confidential information with discretion and professionalism
  • Experience supporting site-based or project teams
  • Applicants must be Australian citizens and hold or be able to obtain an Australian Defence Security Clearance to NV1 level.
