Job summary

Square Capital is seeking an experienced Office Administrator in Barangaroo, Sydney. You will keep the business organised, track priorities, and ensure nothing falls through the cracks by proactive follow-ups and meticulous handling of details.

In this role you will welcome clients and partners, coordinate meetings, manage calendars and facilities, handle correspondence and support recruitment and finance tasks, all within a confidential, bilingual environment.

Qualifications

  • At least 2 years' experience in administration or office support.
  • Comfortable using Microsoft Office (Excel, Word, Outlook).
  • Australian full working rights.
  • Structured, office-based environment familiar.
  • Native Mandarin (spoken and written) and professional English (spoken and written).

Responsibilities

  • Manage general office administration and help maintain an organised, professional working environment.
  • Welcome clients, business partners and other visitors, including coordinating visitor access, meeting rooms and refreshments.
  • Coordinate meetings, calendars, conference facilities and related materials.
  • Handle incoming calls, correspondence, deliveries and general office enquiries.
  • Prepare, scan, organise and securely file business and client documentation.
  • Monitor office supplies, equipment, meeting-room facilities and shared areas.
  • Liaise with building management, suppliers and service providers regarding office services, maintenance and repairs.
  • Assist with invoices, receipts, expense records, reimbursements and other information required by the finance team.
  • Support recruitment coordination, interview scheduling, employee onboarding and offboarding.

What You Will Be Doing
  • Manage general office administration and help maintain an organised, professional working environment

  • Assist with invoices, receipts, expense records, reimbursements and other information required by the finance team
  • Support recruitment coordination, interview scheduling, employee onboarding and offboarding
  • Maintain employee, supplier, asset and administrative records
  • Assist with company events, printed materials and other operational projects as required
  • Follow company procedures relating to confidentiality, information security and document handling
