Job summary

All Aussie Fire is seeking a highly organised Fire Services Scheduler / Service Coordinator to join our Moorebank team. You will schedule routine fire service work, coordinate technicians, manage bookings and keep customers informed to ensure timely service.

Ideal candidates will have scheduling/administration experience, excellent communication, and the ability to handle multiple priorities in a fast-paced environment.

All Aussie Fire is a rapidly growing Australian fire protection company based in Moorebank, providing comprehensive fire protection, compliance and safety services across NSW.

Our services include fire safety certification, routine testing and servicing, installation, maintenance, fire order upgrades, fit-outs, after-hours assistance and 24/6 emergency response.

About the Role

Due to the continued growth of our operations, we are seeking an organised and motivated Fire Services Scheduler / Service Coordinator to join our team in Moorebank.

This is a key role within our operations team and will be responsible for coordinating our technicians, customer bookings and day-to-day service requirements.

You will be the central point of contact between customers, technicians, management and other members of the operations team, ensuring work is scheduled efficiently, customers are kept informed and our technicians have the information they need to complete their work.

The successful applicant will need to be highly organised, comfortable working in a fast-paced environment and capable of managing multiple priorities at once.

Key Responsibilities
  • Scheduling routine fire service, testing and maintenance works
  • Coordinating technicians and allocating jobs based on location, availability, qualifications and workload
  • Managing customer bookings and confirming appointments
  • Liaising with clients, strata managers, building managers, property managers and other stakeholders
  • Communicating daily schedules and job requirements to technicians
  • Monitoring technician progress and adjusting schedules where required
  • Managing urgent, reactive and emergency service requests
  • Coordinating after hours and emergency call outs where required
  • Rescheduling jobs when access, weather, technician availability or other circumstances affect the schedule
  • Ensuring customers are kept informed of changes to appointments and expected attendance times
  • Reviewing completed jobs and following up outstanding information or documentation
  • Identifying opportunities to improve technician utilisation and scheduling efficiency
  • Assisting with the coordination of rectification and follow up works
  • Maintaining accurate customer, site and job information within our systems
  • Assisting the operations team with general administration and coordination
  • Working closely with management to identify scheduling issues and operational bottlenecks
  • Ensuring urgent and compliance critical works are prioritised appropriately
  • Supporting the continued improvement of All Aussie Fire's scheduling and operational processes
About You

We are looking for someone who is highly organised, proactive and comfortable taking ownership of the scheduling process.

You don't necessarily need previous fire industry experience. What's most important is that you are a strong communicator, can think on your feet and are capable of managing a busy schedule where priorities can change throughout the day.

You will ideally have:

  • Previous experience in scheduling, service coordination, administration or a similar role
  • Excellent organisational and time management skills
  • Strong attention to detail
  • Excellent verbal and written communication skills
  • The ability to confidently communicate with customers and technicians
  • The ability to manage multiple tasks and competing priorities
  • Strong problem solving and decision making skills

Desirable Qualifications & Skills

The following will be highly regarded:

  • Previous experience in the fire protection, electrical, building services or facilities management industry
  • Experience scheduling field technicians
  • Experience using Uptick or similar job/service management software
  • Experience with scheduling or workforce management platforms
  • Understanding of Australian Standards and essential fire safety measures
  • Experience dealing with strata managers, property managers or commercial clients
  • Previous experience coordinating emergency or reactive service work
