Job summary

  • Attention to detail in records, data management, and reporting.

Responsibilities

  • Manage and maintain scheduling systems for fire service personnel, equipment, and resources across locations.
  • Process service requests and schedule appointments to utilise resources effectively.
  • Coordinate with field teams and clients to confirm details and adapt to changes.
  • Monitor ongoing service calls and emergencies to ensure timely completion.
  • Maintain accurate records of scheduled services, dispatches, and allocations.
  • Collaborate with departments to resolve scheduling conflicts and improve efficiency.
  • Prepare reports on scheduling activities, metrics, and resource use for management.
  • Handle ad-hoc scheduling requests and provide flexibility during peak periods.
  • Support general office duties including data entry and filing.

About the role

We are seeking a Fire Services Scheduler to join our administrative team at our Brookvale, NSW office on a full-time (HYBRID) basis . This is a critical operational position that plays a vital role in ensuring the seamless coordination and deployment of our fire services. As Fire Services Scheduler, you will be responsible for managing complex scheduling systems, coordinating resource allocation, and ensuring that our team responds efficiently to service demands. This role is fundamental to maintaining our operational excellence and ensuring timely service delivery to our clients.

Key responsibilities
  • Manage and maintain scheduling systems to coordinate fire service personnel, equipment, and resources across multiple locations
  • Process service requests and schedule appointments, ensuring optimal utilisation of available resources
  • Communicate with field teams and clients to confirm scheduling details, changes, and any special requirements
  • Monitor and track ongoing service calls and emergency responses to ensure timely completion and client satisfaction
  • Maintain accurate records and documentation of all scheduled services, dispatches, and resource allocation
  • Coordinate with multiple departments to resolve scheduling conflicts and optimise operational efficiency
  • Prepare reports on scheduling activities, service metrics, and resource utilisation for management review
  • Respond to ad-hoc scheduling requests and provide flexibility during peak service periods
  • Support administrative functions including data entry, filing, and general office duties as required
What we're looking for
  • Proven experience in a scheduling or dispatch coordination role, preferably within Fire Protection service and Maintenance, facilities management, or a similar fast-paced operational environment
  • Excellent organisational and time management skills with the ability to prioritise multiple tasks simultaneously
  • Strong communication abilities, both written and verbal, with proficiency in liaising with diverse stakeholders
  • Proficiency in scheduling software and Microsoft Office applications, with the ability to quickly learn new systems
  • Attention to detail and accuracy in record-keeping and data management
  • Ability to remain calm and professional under pressure, particularly during high-demand periods
  • Problem-solving mindset with the capacity to make sound decisions independently
  • A customer-focused approach with a commitment to service excellence
  • Flexibility and adaptability to changing operational requirements
  • A valid driver's licence is desirable
