Job summary

Qualifications

• Experience in a facilities, records, or business centre role in a corporate or professional services environment.
• Proactive and curious mindset with ability to manage a varied workload independently.
• Strong communication skills and the confidence to liaise with internal and external stakeholders.
• Proficiency in Microsoft Office and openness to digital tools and AI-assisted workflows.
• Excellent attention to detail and time management.
• Collaborative approach to support the broader team.
• Willingness to undertake physical and mobile work across the office.

Responsibilities

• Facilities & Workplace: act as dedicated facilities advisor for space, maintenance, and workplace matters; coordinate contractors; support space management; ensure WHS compliance.
• Records & Archive: guide on records retention, archiving and destruction; progress destruction batches; handle archive retrievals and file movements.
• Business Centre & Mail: document production; manage handoffs to third-party providers; manage mail/courier operations and supplies; process supplier invoices; support printer fleet; use ServiceNow and Outlook; engage with AI tools to improve processes; maintain SOPs and onboard new members.
