About This Opportunity

Are you an experienced Executive Assistant who thrives in a fast-paced, people-focused environment? Join Student Support and Wellbeing Services and play a pivotal role in supporting the Director while contributing to initiatives that help shape a positive and supportive student experience across UQ. As a trusted Executive Assistant, you will be at the centre of a dynamic portfolio, providing high-level executive support, managing key priorities, and helping drive the smooth operation of the office. This is an opportunity to work with a diverse range of stakeholders across the University while making a meaningful contribution to a service area that has a real impact on the UQ community. This role requires professionalism, discretion, and sound judgement, with the opportunity to work in an environment where sensitivity, empathy, and confidentiality are highly valued.

Key Responsibilities
  • Partner with the Director to provide high-level executive support and ensure the effective management of priorities and commitments.
  • Coordinate meetings, events, workshops, travel, and other key activities that support the work of the leadership team.
  • Build strong relationships with staff, students, and stakeholders, delivering responsive and professional support.
  • Act as a trusted point of contact, managing enquiries and confidential matters with discretion and sound judgement.
  • Contribute to the smooth operation of Student Support and Wellbeing Services through proactive coordination, organisation, and problem-solving.

Join us in a full-time, fixed-term role through to 30 July 2027, supporting a key portfolio during a staff secondment. This position is offered at HEW Level5.

About You
  • Proven experience providing high-level executive and administrative support to senior leaders.
  • Exceptional organisational, prioritisation and time management skills, with the ability to manage multiple tasks and deadlines.
  • Excellent written and verbal communication skills, with the ability to build effective relationships across a diverse range of stakeholders.
  • Strong proficiency in Microsoft Office and other business systems.
  • A high level of discretion, professionalism and judgement when handling confidential and sensitive information.
  • The ability to respond appropriately and compassionately to enquiries relating to student support, wellbeing and other sensitive matters, ensuring information is managed respectfully and escalated where required.
  • Emotional resilience and maturity, with the capacity to work in an environment where you may occasionally be exposed to information that is sensitive, complex or potentially distressing in nature.
  • A strong commitment to providing responsive, professional customer service while maintaining confidentiality and privacy requirements.
