Job summary

Dungog Shire Council seeks an Executive Assistant to the General Manager to provide high-level administrative and executive support in a fast-paced environment. You will manage calendars, communications, and priorities for the GM and Mayor, coordinating across departments and with external stakeholders.

Based at Council's Administration Building in Dungog, the role is full-time, on-site, and requires strong governance, compliance, and IT skills to enable efficient decision-making and service

Qualifications

  • Relevant qualification in Business Administration (minimum Diploma) and/or Office Management with experience working with senior executives.
  • Advanced skills in Microsoft Office Suite and the use of electronic document management systems.
  • Typing speed of at least 50 words per minute.
  • Strong organisational/time-management skills with ability to meet deadlines and handle conflicting demands.
  • Strong business writing skills for complex correspondence and reports with accuracy and compliance.
  • Research and analytical abilities with customer service experience and ability to negotiate and liaise with stakeholders.
  • Ability to take initiative, exercise judgement, and maintain confidentiality.
  • Adaptability to organisational change driven by technology, processes and procedures.

Responsibilities

  • Provide high-level administrative and executive support to the General Manager and Mayor.
  • Manage priorities, schedules, and communications for the GM and Mayor; coordinate across departments and external stakeholders.
  • Act as a key liaison between Councillors, staff, community members and a range of stakeholders.
  • Ensure governance and compliance within a complex environment.
  • Collaborate across the organisation to support a customer-focused, solutions-oriented culture.

Dungog Shire Council is seeking a professional, highly organised individual who thrives in a fast-paced executive environment. As the Executive Assistant to the General Manager, you will provide high level administrative and executive support to the General Manager and Mayor, ensuring the effective management of priorities, schedules, communications and business activities.

Being a key liaison between Councillors, staff, community members and a diverse range of stakeholders, you will have exceptional communication skills and be able to confidently manage competing priorities with professionalism and attention to detail. You will be technologically proficient with strong capability in governance and compliance requirements within a complex environment.

Essential selection criteria include (full criteria in the Position Description):
  • Relevant qualification in Business Administration (minimum Diploma), Office Management and or equivalent level of experience in working with senior executives.
  • Demonstrated advanced skills and knowledge of Microsoft Office Suite and the use of electronic document management systems.
  • Demonstrated accuracy and speed in typing a minimum typing speed of 50wpm.
  • Highly developed organisational time management skills with experience in meeting deadlines, attention to detail and dealing with conflicting and varied demands.
  • Strongly developed business writing skills with a demonstrated ability to compile complex correspondence and reports, while ensuring accuracy and compliance.
  • Demonstrated research and analytical skills coupled with well-developed customer service skills, and a strong ability to problem solve, negotiate and liaise with various internal and external stakeholders.
  • Proven ability to exercise initiative and judgement, to demonstrate self-sufficiency, flexibility and confidentiality.

Demonstrated ability to adapt to organisational change driven by technological development, system enhancements and changes in work processes and procedures.

Be Rewarded:

This position is placed at Grade 10 of Council’s salary system. This is a permanent, full-time opportunity. The salary range is $92,135 to $103,639 per annum plus 12% Superannuation.

This role works a 19-day month with 1 rostered day off (RDO) every 4 weeks.
